How to create custom mailers and setup direct mail campaigns

With REISift you have a FULL Built in Direct Mail center where you can schedule out your send dates, schedule out your sends in separate batches, create single and multi touch campaigns and custom design amazing mail pieces tailored to YOUR brand.


Mailer Types

Note: Real Penned Letters will not have tracking information or updated mail status as they use a Forever Stamp and it is not trackable in the same way as other mailer products.

Creating Templates

Before sending any mail you will need to create and save a template.
To create a template, select the Mail Design tab, then Create New Custom Design.

Selecting Product Type

Next, name your template and select the product or mailer type.

When selecting Postcards you'll also need to choose a size: 4x6, 6x9, or 6x11.
For Professional Letters, select an envelope type: Windowed or Non-Windowed.

After selecting the product type, you'll be able to create your own design, or you can select the templates option and choose one of our pre-made templates.

Customizing Mailers

When editing, you can choose your own fonts, add shapes and elements, upload your own photos and logos, select background images, design in layers, and add variable fields to fit your companies branding.

Uploads

To add your own images, select the Upload option in the template editor. The max file size for uploading is 512MB. We only accept images at this time. Video files cannot be uploaded.

Fields

The fields allow you to populate the recepients information and your own contact information.

The Contact Fields will be populated with the recepients information. This is the person that will be receiving the mailer.

The Sender Fields will be populated with YOUR contact info that is added when you create a campaign, or when you set the Default Return & Contact Info.

AI Write

The template editor has an AI write tool which will rewrite, shorten, continue writing and proofread. You can also rephrase in the following tones: friendly, professional, humorous, and formal. To access the AI Write tools, select AI Write in the toolbar of the editor, or select the text box.

Templates

Pre-made templates are available for some mailer types. To customize a premade template, select the template option and choose a template. Templates are also searchable.

Once a template is selected you can customize it further using any of the editor options.

Download Proof

Once your design is complete, you can download a pdf proof by clicking Download Proof towards the top of the editor.

After you've proofed your template and you're happy with your design, click save towards the top right. This will save the template for you to select when you start your campaign.

Editing & Deleting Templates.

Please do not delete a template if it is being used in a scheduled or processing campaign.

If you edit a template after scheduling a campaign, the new edits will take effect and be applied to your mailer IF the status is still scheduled.


If you edit a template, and go back to a previous campaign to download the proof, you are going to see the new edits and not the original proof sent.

To edit or delete a template, click on Mail Designs tab and select the 3 dots next to the template.

Creating Campaigns

After your template is created and saved, you can set up your direct mail marketing campaign.

Selecting Records

There are two ways to start a campaign:

  1. From the Records page

  2. From the Direct Mail tab

To create a campaign from the Records page, filter for the records you want to market to, then select the records and go to Send to -> Direct Mail

To create for the Direct Mail tab, select Direct Mail on the left side bar of your account, then Create New Campaign.

Then, filter and select the records you want to market to and click next.

Campaign Tips:

  • When filtering, filter out vacant mailing addresses by adding the Params & Others Filter and selecting Vacant Mailing -> No.

  • Exclude any previously returned mail by filtering for Last Mail Status -> Do not include -> Returned and exclude any tags created for Return Mail.

  • Exclude any "Do Not Mail Ever" records by filtering for Do Not Mail Ever -> No

  • After your mail is sent we will automatically update the last direct mailed date and the direct mail attempts. There's no need to increment the attempts manually.

Campaign Types

Now name your Direct Mail Campaign, select if you want to send a multi or single touch campaign then Click to Configure the Mailer.

Multi Touch Campaign

When setting up a multi-touch campaign, multiple postcards will be sent to the selected records. With this option, you can select multiple different templates to send, and select the time between each "touch" or send.

Single Touch Campaign

When selecting a single touch campaign, you can choose to send all at once or in batches.

If you select to send all at once, all postcards will be sent at the same time to all selected records on the date scheduled.

When sending in batches, you can can select the amount of batches (number of drops) and the delay between each batch (weeks or months). Please note that when sending in batches your credits will still be charged for all postcard ordered at once. The benefit of sending in batches is to help control and better manage incoming leads from the postcards.

Mailer Setup

Select the mailer or product type you want to send. Any templates you created and saved will be selectable here.

If you have NOT created and saved a template please see Creating Templates.
You must create and save a template before you can finish setting up your campaign.

Return & Contact Info

The Return info is what will be populated in return mailing name and address on the mailer

The Contact Info will populate the Sender fields used when creating your templates.

This information can be saved under the Direct Mail Settings. See Direct Mail Settings.

Campaign Setup

After you've selected the records, template, and saved your contact info, you'll schedule your campaign. Select to send ASAP and we'll send on the soonest send date or you can schedule them to send in the future by clicking under send date and selecting a date.

*Orders are sent at 6PM CST on the sending day. Anything created after 6PM CST on the final set up day will go out on the following send day.

Downloading Proofs

To download a proof of your mailer, select download proof under the template name. Info from the first record in your campaign will be included in the proof. If you've used the fields in the template builder, the correct address and other info will be populated in each mailer. The first record is used just as a preview.

Mailer Drops

When sending, you can send all selected mailers at once or in batches. When sending in batches, you can can select the amount of batches (number of drops) and the delay between each batch (weeks or months). Please note that when sending in batches your credits will still be charged for all postcard ordered at once. The benefit of sending in batches is to help control and better manage incoming leads from the postcards.

Order Summary

Under order summary please review the information and make sure the Return info and tracking numbers are correct. If they are not correct please go back and reconfigure. If everything looks correct, click checkboxes to confirm select Start Campaign to schedule your order.

When you finish scheduling your campaign, and select Start Campaign, we will automatically increment the Direct Mail attempts counter within the record and update the Last Direct Mailed Date

Mail Statuses

When your mail is sent, you can view the mail status by opening the campaign and clicking the Batch tab.
This will show the mail status per record.

Statuses:

  • Scheduled - pending order processing to print

  • Processing - printing phase, we send mail for printing and processing a couple days prior to mail’s selected send date

  • En Route - mail is printed and dropped off at usps

  • Delivered - Cities local USPS has received mail

  • Undeliverable - during the processing phase it was found the address is not deliverable, the mail never gets printed and credits are refunded , this process happened only once mail is sent for processing

  • Returned - Mail Delivery Personal has marked as return to sender and dropped back off at local usps (typically mail will show delivered but then update back as returned as first mail gets to local usps and THEN mail delivery goes to homes to find out that the mail needs returned, so mail can update as returned for some time after delivery

  • Failed - mail activity failed and could not be processed. If you see a failed mail status please reach out to support.

When you select to send mail, within each property record you will see any active or completed campaigns the records are included in:

Do Not Mail Ever

If you decide you do not want to mail a record, you can remove them from all future campaigns by toggling "Do Not Mail Ever" within the property record.
