The Live ("Live Orders" page, reached from Orders) is your control post during service: every new order lands there instantly, you move it forward up to hand-over or delivery, you talk to the customer, you manage your drivers. Your managers find the same Live in the XPRIO Pro app, on a tablet or a phone.
The sections
Orders are split into columns by status: New orders (to confirm), In Progress (confirmed and preparing), Ready for Pickup, Deliveries (out for delivery, grouped by the driver's stage: assigned, accepted, picked up, en route) and History (delivered, completed, cancelled). The "All" view stacks the four active sections. Each section title shows its number of orders and, where relevant, the number of unread customer messages.
History loads in pages of 100 and has a date filter (today, yesterday, this week, a specific date). Active orders always show, whatever the filter. On large screens you can switch between grid view and list view.
Moving an order forward
On each card, the buttons follow the cycle: Confirm, In Progress, Mark Ready, then Complete for a pickup or dine-in order. A delivery order automatically becomes "Out for delivery" as soon as a driver is assigned; the driver then moves it to "Delivered" from their app.
You can also step back: Back to awaiting confirmation, Back to awaiting preparation, or Return to In Progress from "Ready", and even from "Out for delivery" as long as the driver has not picked the order up.
Tick the items as they are prepared (a "Cutlery" line appears if the customer asked for some): this state is shared between all devices and the kitchen.
The "More actions" menu
The + button on each card (or in the order window) gathers the rest:
Receipt: print in receipt format or download as PDF, with the store's legal details.
Add delay: up to 120 extra minutes (shortcuts +5, +10, +15, +30); the customer is notified of the new delay.
Add internal note: a private note, visible only to your team, never to the customer.
Messaging: the conversation thread with the customer ("Sent" / "Read" receipts), available during the order and up to 24 hours after it ends.
Adjust Price: a positive or negative amount with a reason (goodwill gesture, price error, additional fee, compensation); above 50% of the total a confirmation is requested; for an order paid by card online, a reduction can be refunded to the customer's card. Unavailable once the order is out for delivery.
Refund: only for online card payments, in full or in part, with a reason; the order status does not change.
Assign driver / Remove driver (delivery orders).
Cancel Order: a reason is required (out of items, venue closed, customer called to cancel, too busy, can't fulfil the request, or free text); if the order was paid online, the refund is offered and pre-ticked.
Drivers
In the Assign driver window, you choose between Auto-assign (the system picks the available driver with the lightest load and the shortest distance, according to the store setting, with a maximum number of simultaneous deliveries per driver, 3 by default) and Select manually from the list of drivers on duty (status, distance, active deliveries, Call button).
For cash, cheque or card-on-delivery payments, the card shows Money collected or Money not collected: the collection itself is recorded in the driver's app. The drivers button in the toolbar opens the Drivers on duty view.
The toolbar
Store selection: all ticked by default; a warning flags stores in different states (some paused).
Search (Ctrl+K or Cmd+K): by order number, across all tabs and regardless of filters, old orders included.
Menu (button at the top of the side bar): Menu schedule (read-only), Drivers (invitations, ongoing deliveries), Team (today's schedule), Out of Stock (a switch per product and per store, counter on the button), Settings, Help (video), and the two service state buttons below.
Pausing the service and closing temporarily
These are two different mechanisms, both of which block new orders:
Pause Orders is a switch on the store, meant for a rush: customers see "Service paused", and you resume in one click (Resume Orders, or the icon in the orange banner).
Close temporarily records an exceptional closure in the store's calendar, like holidays: customers see "Temporarily closed", and Reopen restores the usual hours.
Both apply to all selected stores, accept an optional reason, are recorded in the manager action history and sync live across all devices.
Live settings
The Settings window has three settings: the order types displayed (delivery, pickup, dine-in), the timing modes (immediate, time slot, scheduled) and the notification sound. The first two are remembered on the device: if orders seem to be missing, check that a type has not been unticked.
Sound must be enabled once per device (blue "Sound notifications" banner, a browser requirement). Then pick from about fifteen sounds; "Muted" turns everything off. It plays on every new order, every customer message, when a driver is removed from another device, and for the reminder of orders ready without a driver (after 10 minutes, then every 5 minutes, until Stop reminders).
A new order opens a full-screen alert for 15 seconds (customer, items, timing, payment, total): click it to open the order.
Real time
The Live updates live. If the connection drops, a "Connection lost, reconnecting..." banner appears, and everything is reloaded automatically when it comes back. Store filters, date and active tab are in the page address: share it to reopen exactly the same view.
