Square is the first till connected to XPRIO. The connection uses your own Square account, takes a few minutes, and goes through no marketplace. This guide assumes you have read the general principle. Connect my till (POS) to XPRIO
What to know
Square charges 1% per order paid outside Square, on your Square developer account, not to XPRIO. That is Square's rate for any order created by a third-party application and paid elsewhere. XPRIO takes nothing.
Square only displays an order once it is paid. An order paid online therefore arrives marked paid. A cash or card-on-delivery order arrives marked paid on send, with the payment method noted: you take the customer's payment without re-entering it. The "Let the till collect" setting does not exist with Square.
Your deliveries appear as "shipment" orders with the customer's address, your pickups as pickups with the scheduled time. Square reserves its "delivery" type for certified partners; the information is the same, only the label changes.
Refunds are mirrored. A full or partial refund made in XPRIO is recorded in Square for exactly the same amount.
Stock-outs go from Square to XPRIO, not the other way: "sold out" is set on the Square till, the API does not allow it from outside.
A test environment exists: Square provides a free sandbox account to try everything without touching your real till.
Step 1: create your Square access token
Sign in at developer.squareup.com with your usual Square account.
Click + New application (or open an existing application). The name is free, for instance "XPRIO".
In the application, open Credentials. At the top of the page, a switch toggles between Sandbox and Production: choose Production for your real till.
Copy the Production Access Token (Show button, then copy). Share it with no one; XPRIO encrypts it and never shows it again.
For a risk-free trial, stay on Sandbox: the Sandbox Access Token is pasted into XPRIO with the Test mode switch on, and the test dashboard is in developer.squareup.com, Sandbox test accounts section.
Step 2: connect in XPRIO
Menu App Configuration, Point of sale (POS), choose the store, then Connect on the Square card.
Turn on Test mode (sandbox) if you are pasting a sandbox token; leave it off for your real till.
Paste the token into Access token and click Save and test.
Choose this store's point of sale (Square location), then Activate.
XPRIO creates in Square, once, what it needs to mark orders as paid, then reads your Square catalogue: items, variations, modifier lists, categories.
Step 3: items
Follow the card's Next step box: import Square items into XPRIO if your menu is not there yet, send your XPRIO menu to Square if your Square catalogue is empty, or match. With Square, linking is based on the SKU of each variation: put that SKU as the PLU of your XPRIO product and everything links by itself. Matching items between XPRIO and my till
Two Square specifics:
every Square item has at least one variation, even without size or flavour: a simple XPRIO product links to that single variation, which is normal;
Square has no meal deals: an XPRIO meal deal links to a Square "Menu" item of your choice, and its components appear as modifiers.
Step 4: test order, then real orders
Send a test order creates in Square an order named "XPRIO" flagged as a test. Open Square (dashboard or Point of Sale app): it is in the orders, paid, with its note. If it shows up, your real orders will follow the same path.
In Square, an XPRIO order carries:
the ticket name XPRIO-number and the mode (pickup, delivery, dine-in);
the lines with the linked variation, linked or free modifiers, discounts and delivery fees;
the payment, recorded as an external "XPRIO" payment for an order paid online, or cash for a cash order;
for a pickup, the scheduled time and the customer's name; for a delivery, the full address.
Frequently asked questions
The connection test fails. Most often a sandbox token pasted without test mode, or the reverse; or a token copied with a space. Regenerate it in Credentials if in doubt.
The test order does not appear in Square. Check that the Point of Sale app is signed in to the same location as the one chosen in XPRIO, and that the order is not filtered out: Square files it under open orders, not under the day's sales until it is completed.
Can I keep my counter sales as before? Yes. XPRIO only adds orders and reads the catalogue. Nothing changes for the rest of your Square activity.
How do I disconnect? Disconnect button on the card. Item links are removed on the XPRIO side; nothing is deleted in Square.
