Easy Reviews: Performance & Best Practices

Updated over a week ago

Things to note

  • It is the responsibility of the agency to notify their agents that this feature has been turned on

  • If an agent has not claimed their profile, we will not send an automated request

  • This feature is available for vendors review requests only

  • This feature is available for sales reviews only

  • This feature will currently send a review request for the lead agent only- Vendor details must be submitted within 14 days after a property's sale for the revi

  • Buyer review requests are automated provided the buyer's email is included in the CRM data and transmitted within 14 days of sale.

  • Requests are sent to the listing agent only, not to co-listing agents or secondary agents.

  • Vendor details must be entered into the CRM or data feed system accurately at the time of sale to ensure successful transmission to RateMyAgent.

  • Ensure that the "RateMyAgent" option is selected during sales processing to include the vendor details in the data feed.

How does this work?

  1. Agency will enter the following details into their data feed provider/CRM 1.1. Vendor full name: how this is entered is how this will appear on the review request 1.2. Vendor email

  2. RMA will receive vendor details in the normal REA XML file

  3. RMA will send Review Request once the property has been marked as sold (via the XML feed)

  4. If RMA has not received vendor details, an automatic Review Request will not be sent

  5. If a Review Request has already been sent manually, we will not send another request

  6. Review Request flow (e.g Reminders) is unchanged

  7. Once the review is completed by the vendor, it will be live on RateMyAgent. This is true of a recommended and not-recommended review8. Vendor details must be submitted through the XML feed within 14 days of the sale date to trigger the review request

  8. During sales processing in your CRM (e.g., VaultRE), ensure that the "RateMyAgent" checkbox is ticked to send vendor details.

  9. Confirm that vendor details are entered accurately to avoid errors in the review request flow.

Best Practice: Easy Reviews - Client Data

How to enter your client data into your CRM/TMS to ensure it looks good on your review requests

If you are using our Easy Reviews feature, this means we are receiving your client data directly from your integrated CRM or TMS in order to send out your review requests.

This article will outline the best way to enter your client details in order for us to send your requests out to your clients.

We will send out the review request in the exact format that you have entered the client name into your database. We'll outline a few examples for you below.

Example 1 - Buyers/Sellers with different last names

If you enter it like this:

First Name

Last Name

Emails

Ben & Jen

Evans & Smith

We send it like this:

Hi Ben & Jen Evans & Smith,

What you should do:

First Name

Last Name

Emails

Ben Evans &

Jen Smith

How we send it:

Hi Ben Evans & Jen Smith,

Example 2 - Multiple Buyers and Sellers

We will send a request to 4 individual buyers (US) or sellers if you enter them on separate lines.

If you enter it like this:

First Name

Last Name

Emails

Ben

Smith

Jen

Smith

Tim

Smith

Kay

Smith

How we send it:

Email 1 - Hi Ben Smith,

Email 2 - Hi Jen Smith,
Email 3 - Hi Tim Smith,

Email 4 - Hi Kay Smith,

What you should do (if you'd only like one review from the whole group):

First Name

Last Name

Emails

Ben, Jen, Tim & Kay

Smith

How we send it:

Hi Ben, Jen, Tim & Kay Smith,
