Setting up a direct Data Feed

Making sure your data is timely and accurate

Instructions for setting up a Direct Data Feed

Data Feeds allow listings to feed directly to Renowned from your multi-loader software, such as VaultRE, REX, AgentBox, E2 and ReNet, to name a few. Data feeds streamline the transfer of property listings from your agency’s account to external platforms, offering benefits like automated uploads, seamless third-party integration, and reduced manual data entry efforts.

Additionally, Renowned offers a Portal Feed feature, which allows listings to push directly from the user's account to Renowned. This feature ensures that properties are displayed efficiently and are ready for prospective clients.

Who can request a Data Feed Setup?

Any team member can request a data feed set up from your agency to Renowned; however, the request must include the contact details of your Principal or Director.

Setting up a Data Feed

Step 1: Select 'Settings', then 'Data Feed' from your dashboard menu, followed by 'Connect'

Step 2: Fill in the details, tick the terms and conditions box, and then click 'Submit Data Feed Request'. The Director/Principal field can even be someone authorised to make changes to your agreement with your CRM, like an Office Manager.

Step 3: Your Director/Principal will receive an email requiring their confirmation and approval before the data feed request will be forwarded to your multi-loader software provider.

The email confirmation step serves as a verification and ensures the request is officially approved by someone with the authority to make changes.

How long does it take?

The turn around time for your data feed to become active is dependent on your multi-loader software provider. In general, new data feed connections to Renowned will be live within 72 hours of your Principal/Director confirming the request. There are some exceptions to this where you need to get in touch with your provider directly, like Rockend (AU) or Property Suite (NZ). To avoid delays, double-check that all email credentials and contact details provided during the setup process are accurate. For questions about integrating portal feeds with Renowned or configuring agency IDs, consult your CRM provider or Renowned support. Ensure you have communicated the permissions required for data feeds to sync with Renowned.

Note: Agency or External ID are provided the your multi-loader software or CRM. This is provided to us once your provider has enabled your feed on their system. The provider may also enter your agency ID directly from the form we sent them after your Director has approved the request.

Disconnecting a Data Feed

How to disconnect a data feed if not in use or has changed providers

If your agency is connected to a different data feed/CRM provider or wishes to disconnect from a data feed on your agency's Renowned profile, then this is an easy task to complete.

Step 1: Log into your agency's Renowned profile and go to 'Settings' then 'Data Feed' to display if there is a current data feed connected.

Step 2: Select the 'Disconnect' button next to the data feed/CRM provider you'd like to disconnect.

Step 3: Once you press the 'Disconnect' button, a pop-up box will ask you to confirm if you'd still like to disconnect the feed, and if so then click 'Yes, Disconnect'.

Step 4: If you wish to connect to a new data feed/CRM provider, follow the above guide.

Manually uploading a property

Manually uploading listings is only possible if you are the lead agent and if a listing is an off market listing. This can be done by going to Properties in your dashboard and click the Add listing option from there.

For a detailed guide on how to manually upload listings, check this link.

Addressing Listings in new development

If your property listing is in a new development and you cannot manually add the address, follow these steps:

Manual uploads are essential only when automatic feed configurations encounter errors or when offices are not integrated with a supported CRM.

  • Update your CRM with the property listing details. If your account has a Data Feed connected to your Renowned profile, the data update in your CRM will automatically sync with Renowned.

Listings not sending from your CRM

If you are sending listings or updates from your CRM, but they are not accurate on Renowned, please provide us with the complete property address that has been sent to Renowned. If you have your CRM agency ID or external ID, kindly provide this to our Customer Support team. We can search our system to see why the file has not loaded correctly and updated on our end. Ensure your CRM integration is functioning properly by double-checking configurations. Confirm whether the correct agent assignments are recorded and that synchronisation issues have been resolved. Additionally, verify that each property's address details are accurate and complete, as errors can prevent listings from appearing properly on Renowned.

Fixing Missing Listings on Renowned. For property listings not appearing in Renowned due to missing street numbers:

  • Make sure that a valid street number is entered in your CRM.

  • Push the updated listing through to RateMyAgent via your CRM.

Properties without a street number or street name will not be processed by our system.

Resolving Multi-Property Address Issues

Managing property listings that involve multiple street numbers or combined lots can sometimes present challenges due to system limitations.

1. Updating the Address in Your CRM

  • Update the listing address in your CRM to reflect only one property address (e.g., "96 Thornton Road" or "96A Thornton Road" instead of 96 & 96A Thornton Road).

  • Re-push the updated data through to RateMyAgent via your CRM.

2. Manual Adjustments

  • If the system does not support multiple addresses, you can manually add the listing as either one of the addresses (e.g., "96 Thornton Road" or "96A Thornton Road").

  • Once the listing is received, our Customer Support can then manually update on the backend to display as a combined address (e.g., "96 & 96A")

Withdrawing/deleting a listing

Sometimes there might be a property on your profile that isn't yours. You can withdraw this from your profile by Reporting the Status to Withdrawn.

This works the same as deleting it. Please note that this will remove the sale from your agency as well. Only sales without a review request can be withdrawn.

Change the agents on a listing

This can be done through updating agents linked to a transaction or listing from your CRM and repush the updated data through to us at Renowned.

If you are not using any CRM, you may reach out to our Customer Support team and provide the property address as well as the reason why you want the agents on a listing changed.

Incorrect Days on Market or Median Days on Market

Your days on market stats may be incorrect if property listing dates and sold dates are wrong. To correct this, make sure you have the correct Listing date and sold date in your CRM and repush the updated data through to Renowned.

Troubleshooting Missing or Incorrectly Displayed Sold Properties

When dealing with missing or incorrectly displayed sold properties on your Renowned profile, it is beneficial to address potential issues systematically:

Verify CRM Integration and Configuration

  • Confirm that there is a working CRM or data feed connection with Renowned.

  • Ensure that the data feed is active and accurately configured to sync property data.

Address Incorrect or Ambiguous Addresses

  • Check for complete and accurate address details. Missing fields like street numbers or incorrect formatting can cause visibility issues.

  • Improve clarity for properties with dual or complex addresses by using unique designations.

Key Takeaways

  • Ensure your CRM is updated and configured to sync automatically with Renowned for seamless data integration.

  • Always provide a valid street number for each property listing in the CRM.

  • Avoid entering multiple properties in a single address field to prevent feed errors.

  • Use manual addition as an alternative when the automated feed is unavailable only if you are the listing agent.

  • You can connect 2 or more CRM on your Renowned profile if you are using different feeds for your sales and leasing.
