Set up your company showing settings

Overview

Before you can start doing showings in RentEngine, an account admin needs to set up you company's showing settings.


Configure your company showing settings

Get started by navigating to Settings > Showings > Company

Overview of settings for Accompanied Showings:

  • Piggyback Maximum:

    • Piggybacking is the ability for prospects to schedule showings just before or just after a scheduled showing at the same property.

    • This setting lets you control the maximum number of consecutive piggybacks at the same property.

    • 0 means that piggybacking is not allowed.

  • Multifamily Piggyback Maximum:

    • This allows you to have back-to-back showings at different units (or the same unit) within a multifamily building.

    • Keep in mind you'll need to set up a multifamily unit in RentEngine first by following the steps here.

  • Max Stacked Accompanied Showings:

    • Stacking refers to the number of showings that can be scheduled at the same property at the same time.

  • Accompanied Showing Duration:

    • The length of time in minutes for accompanied showings.

  • Max Visits Per Property Per Day:

    • The number of trips a showing agent can make to that property in one day.

    • Stacked and piggybacked showings do not count as an additional trip (recommendation: 1).

  • Max Visits Per Unit Per Week:

    • The number of trips a showing agent can make to that property in one week.

    • Stacked and piggybacked showings do not count as an additional trip.

  • Minimum Notice Period (hours):

    • The amount of lead time in hours before a scheduled showing can happen.

  • Send Confirmation Before Showing (minutes):

    • The number of minutes before a scheduled showing when the confirmation text message is sent.

  • Auto-Cancel For Unconfirmed Showings (minutes):

    • The number of minutes before a scheduled showing when the showing is auto-canceled because the prospect did not use the link to confirm.

  • Drive Time Buffer (%):

    • Use this to apply an additional buffer (%) to the Google Maps drive time between showings.

  • Assign Unassigned Leads to Agent on Showing:

    • Use this to assign the prospect to the showing agent for all future communication and lead tracking (only recommended if you use commission-based external agents).

  • Only Schedule Showings with Lead's Assigned Agent:

    • Use this to only allow prospects to schedule/reschedule with the agent assigned to them (only recommended if you use commission-based external agents).

  • Send Feedback Form After Accompanied Showing:

    • When enabled, RentEngine automatically sends the prospect an SMS with a feedback form link approximately 30 minutes after the showing ends.

    • The form asks the prospect for their next step (send me the application, still deciding, or not interested), along with optional fields for what they liked, disliked, and a star rating.

    • If the prospect doesn't respond within 2 hours, the system automatically closes out the showing.

      • Note: this setting only applies to accompanied showings.

Overview of settings for All Showings:

  • Send application after showing is completed

    • If the agent or prospect does not add feedback & choose the next step after a showing, the system will automatically close out the showing and send the application link 1 hour after the showing's scheduled start time (recommendation: yes)

  • Max lead time for showings

    • The number of days in advance that a showing can be scheduled (recommendation: 7 days)

  • Require PM approval for showings

    • Use this feature if you want to manually approve showing requests, rather than them being scheduled automatically after an approved prescreeening

Overview of Showing Windows:

  • Self-guided

    • Select in blue the hours/days that self-guided showings can be scheduled each week

    • Select in blue the hours/days that remote-guided showings can be scheduled each week

  • Accompanied

Don't forget: Press "Save" at the top-right to save your settings
