Overview

RepeatMD partners with Aesthetic Record (AR) so your team can view RepeatMD memberships, purchases, and transactions directly inside Aesthetic Record. Staff can track wallet credits, redemptions, and membership status without re-entering data in two systems.

Before You Start

  • You need Administrator or Manager access to the RepeatMD Admin Panel.

  • Your practice must use Aesthetic Record as your EMR/practice management system.

  • The integration is one-way: RepeatMD data syncs into Aesthetic Record. Activity completed only in AR does not sync back into RepeatMD.

  • You will generate an API key under Integrations (in Client Resources) and paste it into Aesthetic Record to connect the two systems.

The Aesthetic Record integration helps your team:

  • Reduce double entry by showing RepeatMD memberships and purchases inside AR.

  • Redeem wallet credits at checkout in Aesthetic Record when patients pay with RepeatMD balances.

  • Track redemptions and membership status without switching between platforms.

  • Keep inventory and sales data aligned when patients buy through your RepeatMD app.

How It Works

One-way sync: RepeatMD sends memberships, purchases, and transactions to Aesthetic Record in real time. When a patient buys or redeems in your RepeatMD app, that activity appears in AR. If you complete a checkout only in Aesthetic Record, that activity does not appear in RepeatMD.

What staff see in AR: Practice staff can view RepeatMD orders, wallet balances, and membership details from the patient record in Aesthetic Record after the integration is enabled.

API key authentication: You create a secure API key in the RepeatMD Admin Panel and enter it in Aesthetic Record. The key authenticates your practice and allows data to flow between systems.

Deactivating access: You can deactivate an API key in the Admin Panel at any time, which immediately revokes Aesthetic Record’s access.

Confirm the integration is active

  1. Log in to your Admin Panel.

  2. Open Integrations under Client Resources in the left-side navigation.

  3. Confirm an Aesthetic Record API key exists and is active.

  4. In Aesthetic Record, verify the RepeatMD integration shows as connected with the same API key.

Review synced data in Aesthetic Record

  1. Open a patient profile in Aesthetic Record.

  2. Locate the RepeatMD or Wallet section (label may vary by AR version).

  3. Confirm memberships, purchases, and wallet balances match what you see in RepeatMD.

Best Practices and Pro Tips

  • Enable the integration before go-live. Generate and test the API key in a low-traffic window so staff can confirm data appears in AR.

  • Train front desk on one-way sync. Staff should know that AR-only checkouts will not update RepeatMD.

  • Use AR Learning Lab resources for staff training on redemption workflows and business insights.

  • Deactivate unused API keys. If you rotate keys or leave AR, deactivate old keys in the Admin Panel immediately.

  • Open the patient Wallet in AR to refresh membership data if status or benefits look stale after a change in RepeatMD.

Q: Does activity in Aesthetic Record sync back to RepeatMD?

A: No. The integration is one-way (RepeatMD → Aesthetic Record). Purchases and redemptions completed only in AR will not appear in RepeatMD.
