How to Plan Minutes in Therapy Planning

This article explains how to plan therapy minutes for PT, OT, and SLP using Therapy Planning. Planned minutes define expected therapy during an active certification period and drive what appears on the Scheduler.

When You’ll Use This Article

Use this article when you need to:

  • Plan or adjust therapy minutes during an active certification

  • Review payer, frequency, and certification details while planning

  • Copy planned minutes across weeks

  • Apply therapy templates to speed up planning


Overview

The Therapy Planning page allows you to plan therapy minutes for all disciplines in one place. Planning minutes defines how much therapy is expected during an Episode of Care but does not assign therapists or create scheduled visits.

Planned minutes must exist for a patient to appear on the Scheduler.

Before You Begin (Required Conditions)

A patient must meet all of the following before minutes can be added:

  • An Episode of Care is open

  • An Evaluation has been completed

  • The patient has an active certification period

If these conditions are not met, minutes cannot be added.


Step-by-Step: Planning Therapy Minutes

Step 1 — Open Therapy Planning

From the left-hand navigation:

  • Go to Scheduling

  • Select Therapy Planning


Step 2 — Select a Patient

  • Patients who require planning (active certification) appear first

  • Other patients appear below

You can:

  • Select a patient from the dropdown

  • Use the arrow icons next to the patient name to move to the next patient in the list

Patients needing planning are always prioritized at the top.


Step 3: Complete the MDS Assessment (if needed)

If you need to complete an MDS Assessment for insurance purposes, follow these steps:

  1. Go to the MDS Assessment tab.

  2. Click the "Create New MDS Assessment" button.

  3. Choose the assessment type from the dropdown menu.

  4. Complete the required assessment fields. (You can return back to this assessment at any time to update initial assessment fields, and finalized MDS assessment.)


Step 4 — Review Plan of Care Details

Before entering minutes, review the information displayed at the top right of the planner:

  • Plan of Care (frequency by discipline)

  • Payer type

  • Certification start and end dates

Additional indicators:

  • Frequencies also display in red directly under each discipline

  • If Group or Concurrent was not selected during the evaluation, those rows will appear grayed out and minutes cannot be entered

You cannot add minutes if there is no completed evaluation and open Episode of Care.


Step 5 — Enter Planned Minutes

You can plan minutes for:

  • Individual

  • Group

  • Concurrent

Each has its own row per discipline.
Group and Concurrent percentages are displayed at the bottom of each discipline row.

Ways to Enter Minutes

Option 1: Manual Entry

  • Click into a minutes field and type

  • Use keyboard arrows to move between fields

  • Changes save automatically

Option 2: Copy Weekly Plan
(Available only with an active certification)

  • Click the double square icon at the start of the week

  • Select Copy Weekly Plan after manually minute entry

  • Choose:

    • A specific date to copy to, or

    • Max (up to 90 days or the anticipated discharge date)

Option 3: Apply a Template

  • Select a template to pre-fill minutes until a specified date or to max (90 days).

To create or manage templates:

  • Click Manage Templates in the top-right corner


Step 6 — Review the 9-Day Planning Window

The planner displays a rolling 9-day window to help visualize frequency.

  • Blue bars = within frequency limits

  • Red bars = frequency exceeds limits

These indicators help identify potential over-planning before scheduling.


Step 7 — Navigate the Planner

You can move through dates using:

  1. Single arrow icon — scroll day-by-day

  2. Double arrow icon — scroll week-by-week

  3. Calendar icon — jump to a specific date

You can also use Jump to Start of EOC to return to the beginning of the episode.


Bottom-of-Planner Summary

At the bottom of the planner, you’ll see:

  • Daily Total Minutes: Planned | Actual

  • RUGs Total

  • Variation

This summary helps compare planned therapy to delivered care.


Important Rules & Behaviors

  • Planned minutes are required for patients to appear on the Scheduler

  • Planning does not assign therapists or create visits

  • Minutes cannot be added outside an active certification period

  • Group and Concurrent minutes require those options to be selected in the evaluation


Common Questions

Why can’t I add minutes for a patient?

Confirm the evaluation is complete, the Episode of Care is open, and the certification period is active.

Why are Group or Concurrent rows grayed out?

Those options were not selected during the evaluation.

Do planned minutes schedule visits automatically?

No. Scheduling is handled separately.
