Using Therapy Templates

This article explains how to create, manage, and apply Therapy Templates to quickly plan therapy minutes during an active certification period.

When You’ll Use This Article

Use this article when you need to:

  • Create reusable planning templates for PT, OT, or SLP

  • Apply planned minutes across multiple weeks

  • Update or remove existing templates

  • Speed up therapy planning while maintaining consistency


Overview

Therapy Templates allow you to save commonly used minute patterns and apply them during Therapy Planning. Templates help reduce repetitive entry and ensure consistent planning across patients and certification periods.

Templates can only be applied when a patient has an active certification.


Creating Your First Template

Step 1 — Open Therapy Planning

From the left-hand navigation:

  • Go to Scheduling

  • Select Therapy Planning


Step 2 — Open Template Management

  • Click Manage Templates in the top-right corner of the planner


Step 3 — Create the Template

  • Enter a Template Name

  • Fill in sample minutes for:

    • Individual

    • Group (if applicable)

    • Concurrent (if applicable)

  • Click Save Template


Editing or Deleting Templates

Editing a Template

  • Open Manage Templates

  • Select the template from the list

  • Make updates to minutes or naming

  • Click Save Template

Deleting a Template

  • Open Manage Templates

  • Click the X next to the template

  • Confirm deletion when prompted

Deleting a template does not affect existing planned minutes.


Applying a Therapy Template

Templates can only be applied during an active certification period.

Step 1 — Navigate to the Planning Week

  • Go to the Therapy Planning page

  • Locate the start week (typically the evaluation date)

Step 2 — Apply the Template

  • Click the double square icon at the start of the week

  • Choose one of the following:

    • Apply template through the anticipated discharge date, or

    • Apply template for up to 90 days

Planned minutes will auto-fill based on the selected template.


Important Rules & Behaviors

  • Templates do not override certification limits or frequency rules

  • Group and Concurrent rows must be enabled in the evaluation to apply those minutes

  • Templates apply only to planning, not scheduling

  • Templates do not assign therapists or create visits


Common Questions

Why can’t I apply a template?

A: Confirm the patient has an active certification and completed evaluation.

Can templates be edited after they’re applied?

A: Yes. Planned minutes can always be adjusted manually after applying a template.

Do templates schedule visits automatically

A: No. Scheduling occurs separately from planning.
