This guide will help new users navigate the system effectively. Use the menu on the left side of the screen to access different sections. We will cover the main sections and features, ensuring you understand how to use them to streamline your workflow.
A few housekeeping items as you get started:
If you work across multiple locations, use the drop-down menu in the upper right-hand corner to ensure you are working in the correct facility. Each group also has access to a Sandbox facility for early training and onboarding practice.
Please make sure to clock in and out daily to track productivity & efficiency and for reporting accuracy.
If you forget to clock in or out for the day, your facility DOR can make changes with the Labor Management tool.

Review your daily schedule: Check your tasks for the day under the

Department Dashboard
Department Dashboard is designed for Rehab Directors and includes:
Team member tasks: Monitor tasks assigned to your team.
Month-End Alerts: Stay updated on daily alerts for a successful month-end closeout.
Facility reports: Access detailed reports on facility operations.
Patients
To add a new patient in the system:
Click the + Add New Patient button
Complete all the required fields
First Name
Last Name
Gender
Date of Birth
Primary Physician
Medical Redcord Number
Med B Charges to Date
To review and manage your Patient List
In the Patients section, you will find:
List of all patients: Both Active and Inactive.
Active patients: Currently on therapy caseload.
Inactive patients: Discharged from all therapy disciplines.
After selecting a patient name, you will open their record. Here, you can:
Create an Episode of Care (EOC)
Review Episodes of Care: Track patient care history.
Access tabs for Screenings: Add or edit screenings
Edit patient info: Includes patient demographics, physician details, facility stays, etc.
Daily Notes and Billing
In Daily Notes and Billing, you can:
Complete daily SOAP notes: Document patient interactions.
Navigate day-to-day: Use the date picker at the top.
Today’s Patients: Lists patients on your schedule.
Other Patients: Complete a daily note for any active patient not on your schedule.
Scheduling
Scheduling includes two main areas:
Therapy Planning:
Patient list navigation: Enter projected treatment minutes.
Tabs for MDS assessment and Authorizations: Relevant documentation and approvals.
Therapist Scheduling:
Date picker and discipline-specific tabs: Drag and drop patients onto a therapist’s schedule.
Sort by and Filter by tabs: Enhance scheduling efficiency.
Labor Management
The Labor Management section is split into two areas:
My Availability: Accessible to all users.
Review and edit monthly calendar: Adjust availability based on your typical schedule.
Block or Unblock specific days: Customize weekly availability.
Labor Management (Permissions-Based): For Rehab Directors or designated personnel.
Review clock-in and out data: Use the date picker at the top.
Productivity reporting: Enter daily 8-hour logs for salaried employees at the end of each week.

Familiarize yourself with the interface: Spend some time navigating each section.
Keep your availability updated: Ensure your schedule reflects your true availability.
Regularly review tasks and schedules: Stay proactive in managing your workload.
