Want to give your patients more flexibility and reduce claim denials? This guide shows you how to use Aloha to create separate VSP authorizations for different services, so you only authorize what you need.

✨ When You Need This Guide

This guide is for you if you're a practice that:

  • Wants to authorize only specific VSP benefits for a patient's visit.

  • Is tired of logging into VSP to manage authorizations.

  • Wants to avoid claim denials from authorizing benefits that aren't being used.

  • Needs to give patients the flexibility to get an eye exam and come back later for glasses or contacts.

Prerequisites/You'll Need:

  • A user account with access to PracticePal.

βœ… How to Authorize Specific VSP Benefits

Follow these steps to create a targeted authorization for your patient's visit.

  1. Check the patient's eligibility.

    • Run a standard VSP eligibility check for your patient in PracticePal.

    • You'll see color indicators next to each benefit:

      • Green: The service is available.

      • Red: The service is not available.

      • Yellow: The benefits have been authorized at another office.

  2. Pull the authorization.

    • Click the "Authorization" button. This opens a slide-out window showing only the benefits that are available

  3. Select the benefits to authorize.

    • Choose only the benefits the patient is using for this visit (e.g., "frames" and "lenses").

  4. Create the authorization.

    • Click "Pull Authorization."

    • A unique authorization number will be generated.

    • A new page will be added to your PDF with the authorization number, effective date, and expiration date.

    • The remaining unused benefits will stay available for future authorizations.

  5. To delete an authorization, select the authorized benefit and click "Delete Authorization."

πŸ’‘ Common Questions

What You Might Notice

Why It's Happening

What to Do

I can't find the split authorization option, or I'm only seeing an "all-or-nothing" option.

You may be looking at an eligibility search that was completed before the feature was activated.

Rerun a new eligibility search to access the split authorization options.

The authorization isn't going through, even though it's available.

There may be an issue with the authorization on the VSP side, and you may need to authorize it directly through them.

Check the PDF to confirm that the benefit is available. If it is, log into VSP to try and authorize it directly.

I want to combine multiple authorizations into one.

Each authorization creates its own unique number. You will need to delete and recreate them as one.

Delete the existing authorizations and then create a new, comprehensive authorization that includes all the benefits you want to combine.

πŸŽ‰ You'll Know It's Working When:

  • You can select specific VSP benefits to authorize in PracticePal without being forced to authorize everything.

  • The system generates a new, unique authorization number for each separate authorization request.

  • You can see the new authorization reflected in the patient's eligibility results and PDF.

  • You no longer need to log into VSP's portal to manage authorizations.
