🔗 Connecting or Reconnecting VCP Credentials

Only a Practice Admin can connect or update credentials.

  1. Go to the “VCP Credentials” tab
    Found on the left-hand side of the Aloha screen.

  2. Look for red triangles 🔺
    These indicate disconnected or outdated portal credentials—common after a password reset or portal error.

  3. Click “Edit” next to the portal you want to update

  4. Enter the correct username and password
    Click “Submit” after entering.

    If successful: ✅ You’ll see a green checkmark
    If unsuccessful: 🔺 The triangle remains—check and re-submit.

  5. Multi-location? You may need to choose an address.
    For some portals (like EyeMed, Versant, or Spectera), a dropdown of your locations will appear.

    • Select the correct location

    • Wait for the green checkmark to confirm success

🔒 Credentials are securely stored in Aloha and only admin users can update them.
🎯 You’ll no longer need to log into each vision portal manually!

⏱️ All eligibility results expire after 48 hours
This ensures your team always has the most accurate information when scheduling or billing.

  • ✅ The red triangle next to the portal disappears

  • ✅ A green checkmark appears after updating credentials

  • ✅ Eligibility search returns active, accurate data for all members

  • ✅ You can see benefit details by clicking the patient name or "Plan Snapshot"
