📆 How to Set Up a Reactivation Campaign in Review Wave

✨ When You Need This Guide

This guide helps you automatically reconnect with patients who haven’t visited recently—without manually checking schedules or sending one-off reminders. Use it when:

  • You're wondering how to bring patients back after months of no visits

  • You want to automate patient follow-up

  • You need a system that targets patients based on last appointment

  • You want to send reactivation reminders via text or email

  • You’re asking:

    • “Can I send follow-ups after 1 month or 4 months?”

    • “Can I create a reactivation campaign just for adjustments?”

    • “Can I make it provider- or appointment-type-specific?”


✅ Set Up Your Reactivation Campaign 🛠️

Follow these simple steps to create a campaign that brings back patients based on how long they’ve been inactive.

1. Start the Campaign Setup

  • Go to Campaigns > Show Campaigns

  • Click Add

  • Choose Reactivation


2. Customize Your Campaign Settings

Name your campaign
Give it a name that reflects the purpose—like 6-Month Adjustment Reactivation.

Select the appointment type
Choose what kind of appointment you’re reactivating for:

  • Type “Any Appointment” to reach all patients

  • Or type something specific, like “Adjustment,” to focus on those types only

Set your “dismiss” criteria
This removes patients from the campaign once they book again. You can also make it provider-specific if needed.

Choose your timeframe

  • Pick when a patient should first get reactivated (e.g. 1 month since their last visit)

  • Then choose when to stop trying (e.g. 1 year of inactivity)

Add repeat messaging (optional)
Select how often messages should repeat if the patient hasn’t booked yet.

Choose extra settings (optional)

  • Include dismissed contacts? Check if you want previously contacted patients re-included.

  • Make it appointment-specific? Choose this if you only want to reactivate based on the last appointment type.

✅ Click “Add Campaign” to save this setup!


3. Add Campaign Steps (Messages to Send)

Click “Add Step” to begin building your campaign flow.

For each step:

  1. Name your step (like “First Reactivation Text”)

  2. Select an action – usually to send a text or email

  3. Choose a template from the dropdown (you can edit it!)

  4. Set the delay/timing for when it should send

  5. Click “Add Campaign Step”

👉 Repeat to add as many steps as you'd like!


🔛 Final Step: Activate Your Campaign!

Once all your steps are added, simply turn the campaign ON and let it run. Review Wave will take it from there—automating outreach and helping you fill your schedule with returning patients!
