Checkout, Payments, Credit Cards, Charge, Billing

Your patient is fresh out of treatment and is feeling great! Let's get them Checked Out! πŸŽ‰

To check a patient out on the Practice Manager, find the Patient Appointment and locate the three dashed lines to pull up your status options and find Checkout:

This will bring you to the Checkout Summary page where you will see:

  • Today's Appointment: Key details of the appointment you are checking out (Appointment Type, Provider Name, any Resources used, etc.)

  • Plan Notes: During the appointment, the Provider may add any important notes for the Front Desk. For example, if additional X-Rays are needed, modifications to their Patient Careplan, next appointment guidelines, and anything else the Provider would like!

  • Careplans: Any current Careplans the patient is on should show here.

  • Future Appointments: Any Appointments scheduled out for this Patient should show here.

  • Treatment Plan: This is the suggested plan that the Provider will input from the Outcome page so that the Front Desk knows how to schedule the patient out going forward.

  • Next Appointment Request: This request is also inputted from the Outcome page for the Front Desk to know when to schedule the patient next.

  • Appointment Notes: These are the Notes typically created from the Practice Manager or when the patient was initially scheduled, and can additionally be viewed while the patient is in treatment on the Outcome screen. Once added, they can be reviewed under the Chart Notes section of the Patient Profile.

  • Today's Charges: Any Products or other Appointment Charges may show here. You can select Enter new line item to add additional charges that require Diagnosis or Treatment Codes, or Modifiers. **Note: Entering in Diagnosis Codes, Treatment Codes, or Modifiers are not required when adding a Product or Services here.

  • Mark Appointment Completed (in the top-right corner): This moves the patient from In Treatment to Checked Out.

To take a payment, locate where it says to Create an Invoice from Today's Charges:

This will take you to the Payment screen. Here, you can add any last minute charges by selecting + Add Charges, or you can add Discount, or Delete items off of the Invoice before payment has been taken. You can also create a PDF of the Invoice. Lastly, you can Mark the Appointment as Complete from this screen, which will move the patient into the Checked Out Column on the Practice Manager.

✨PSST!✨ This process will create an Appointment-Associated Invoice, which you will need when creating Claims, or Invoices that are sent out to HSAs, HRAs, or that are for Personal Injury cases because any Diagnosis Codes, Treatment Codes, and Modifiers added to the Outcome Page or the Line Item section of the Checkout Screen will populate directly onto a HCFA or an Invoice.
