📢 This article explains "E-commerce Order Settings (Version 2)", which is being gradually rolled out to all customers. You can check your platform’s installed version through the Orders menu. If you are using Version 1, click [here] to access the relevant articles.

When linking Rewaa with e-commerce platforms, you must configure certain settings to ensure proper order processing. These settings allow you to:

  • Process orders even when the ordered quantity exceeds the available stock in Rewaa.

  • Sell products at a price lower than the cost.

  • Define when invoices should be automatically generated.

By properly configuring these settings, you can avoid errors related to stock availability or pricing and manage automatic invoicing for e-commerce orders.

⚠️ Currency Limitation: The default currency in Rewaa is Saudi Riyal (SAR). If an order is placed in a different currency, Rewaa does not convert the amount.

Example: If an order is placed on an e-commerce store for 6 Kuwaiti Dinars (KWD), Rewaa will process it as 6 SAR, without conversion.

Order Settings

To access e-commerce order settings:

  • Sales & Customers > Sales Settings > E-commerce Orders

The order settings menu will appear. Enable the options you need by switching on the toggle.

1- Sell when quantity > available

Enables processing orders even when the ordered quantity exceeds available stock in Rewaa.

ℹ️ When this option is enabled:

  • Orders will be accepted without error notifications, even if the stock is insufficient.

  • This only applies to new orders. Errors in existing orders must be corrected manually.

2- Sell when price < cost

Allows processing orders when the selling price is lower than the cost price in Rewaa.

ℹ️ When this option is enabled:

  • Orders containing products priced below cost will be accepted without warnings.

  • This applies to all orders and will also fix previously held orders due to pricing errors.

3- Automatically issue invoice

Defines when invoices are automatically generated in Rewaa.

ℹ️ Key points:

  • The default invoice generation stage is "Ready for Shipment".

  • Invoices cannot be disabled, but you can choose the trigger stage for generation.

  • Generated invoices will impact reports, sales records, and collected payments.

⚠️ After an invoice is issued in Rewaa, you cannot modify the order details, such as:

  • Adding new products

  • Changing prices

  • Applying discounts

Saving the Settings

Once you have activated the desired options, click Save.

These settings will apply to all e-commerce orders moving forward.


FAQ

1. Can I enable "Sell when quantity > available" or "Sell when price < cost" for specific products only?

No, when these options are enabled, they apply to all products in incoming e-commerce orders.

2. I sometimes offer free gifts or discounts that make a product’s selling price lower than the cost price. Can I complete these orders and issue invoices?

Yes, you can override warnings and proceed with the order without restrictions.

3. How can I check if the "Sell when price < cost" option is enabled?

If the toggle button is green, the option is enabled.

To disable it, turn off the toggle and click Save.

4. If I enable these settings, will they also apply to orders processed through Rewaa Cashier?

No, these settings only apply to e-commerce orders.
