As a Payroll Admin or Admin user, you may occasionally need to assist with timecard signatures—whether by prompting employees to sign on their own, or helping them complete the process directly from your computer.

Enroll team members in text alerts to receive future signature notifications
Send a text notification to request a timecard signature
Walk a team member through signing a timecard in person

📲 Enrolling a Team Member in Text Alerts
If a team member has not yet enrolled in text alerts, you can enable this setting from the web platform or their foreman can do so from the mobile app.
To enroll a Team Member via the web:
Navigate to Company Settings > Team Members.
Check the box next to the name(s) of the team member(s) you want to enroll.
✅ Best Practice Tip: You can select multiple team members at once to enroll in bulk.Ensure all selected team members have a valid phone number associated with their record.
A blue action bar will appear at the top of the page—click Enable Text Alerts.
This action sends a text message to each selected team member notifying them that they've been enrolled to receive Rhumbix SMS messages for timecard signature requests.
📤 Sending a Signature Request via Text
Once text alerts are enabled, you can easily request a signature from Weekly View:
Navigate to Weekly View from the left-hand menu.
Use the filters, if needed, to locate the correct project, week, and employee(s).
Select the timecard(s) that require a signature.
✅ Best Practice Tip: Hold down the Shift key to multi-select multiple timecards.In the yellow action bar at the top, click Daily Signature or Weekly Signature, depending on your project configuration.
⚠️ If the Request Daily Signature option is grayed out, it means one or more of the selected team members are not enrolled to receive text messages.
You’ll see a green confirmation banner at the bottom of your screen once the request is sent.
💡 The team member will receive a text message with a link to open and sign their timecard.
🖥️ Having a Team Member Sign at Your Desk
If a team member is with you and prefers to sign immediately:
Navigate to Weekly View
Use filters, if needed, to find the correct timecard.
Single-click the timecard that needs to be signed.
In the yellow action bar, click either Daily Signature or Weekly Signature, depending on your project configuration.
The signature screen will open on your computer.
Allow the employee to:
Verify their identity
Answer the three end-of-day questions
Sign their name by typing or drawing in the signature field
Once completed, the timecard will update to reflect the successful signature.
