How do I set up approval flows for invoices, receipts, P-Card transactions, and estimates?

  1. Go to ApprovalsConfigure tab.

  2. You'll see three setup tabs: Invoices, Estimates, and Receipts.

  3. To create an approval flow:

    • Click “Add Level” to build your approval tiers (you can add as many as needed).

    • Drag users from the Uploaders section into the appropriate level(s).

    • You can update or rearrange these levels anytime.

🚨 Important:

Users at the Uploader level must manually submit their transactions for approval:

  • Navigate to ApprovalsReview tab.

  • Select the transactions and click Submit.

If they don’t submit, approvers won’t see these transactions in their queue. Once submitted, the next-level approver will find them under ApprovalsReviewNeeds Approval.


How do I submit transactions for approval?

  1. Go to the Approvals tab (or Review, depending on your role).

  2. Under the Needs Submission tab, you’ll see all transactions requiring your submission.

  3. To submit:

    • Check individual transactions, or

    • Click the top-left checkbox to bulk select all.

  4. Click Submit to send them up the approval chain.


How do I reject a transaction?

  1. In the ApprovalsReview tab, select the transactions you want to reject:

    • Click the checkbox to the left of each transaction, or

    • Use the top-left checkbox for bulk rejection.

  2. Click “Add a Note” (e.g., “Incorrect receipt — please update”).

  3. Click the red Reject button.

Rejected transactions go back to the uploader, and:

  • Will appear under their ApprovalsReview tab.

  • Show as “Approval Rejected” in red in the Status column.

  • Include any notes you left.

The uploader can correct and resubmit the transaction at any time.


How do I review approvals?

  1. Go to ApprovalsReview.

  2. You’ll see two tabs:

    • Needs Approval – Transactions sent to you for approval.

    • Needs Submission – Transactions you’ve uploaded that need to be submitted.

🔹 If you're the top-level approver, you may only see the “Needs Approval” tab.


How do I view approval history for a transaction?

  1. Go to the Transactions tab.

  2. Click the eye icon next to the transaction you want to review.

  3. Inside the transaction detail view, go to the Approvals tab.

You’ll be able to see:

  • When the transaction was added.

  • When it was submitted, approved, or rejected.

  • Who took each action.


Do I need to approve a transaction before adding it to an envelope?

Nope — it’s flexible!
You can create an envelope with:

  • Approved transactions

  • Unapproved transactions

  • Or a mix of both

It’s totally up to your team’s workflow and preferences.
