A user guide for Cast & Crew members within RollCredits

Introduction

As a Cast & Crew member with RollCredits, you have the ability to do the following:

  • Use Card: Make purchases on behalf of the Production using your RollCredits P-Card

  • Link Receipts: Upload photos and PDFs of a receipt to a transaction (uploads can be done via text, email, or directly from your computer)

  • Approvals: Submit your transactions for Approval to your Manager

  • Invoices & Other Receipts: Upload additional documentation for Managerial Review

To get started with RollCredits, here are next steps and guides to help you along:

  1. Login to RollCredits:

  2. Activate Credit Card

    1. To activate your card just text the last 4 digits of the card to +1 (254) 321-2308

  3. How to Upload Your Receipts to Transactions:

    1. Upload by manually uploading receipts in the app or by texting, emailing receipts or taking a photo on your phone directly to upload.

    2. All of this information can be accessed from the Transactions Page via the “Other Expenses” tab.

Cast & Crew Workflow

How to Login

  1. Go to app.rollcredits.io on your computer or phone.

2. If you do not know your username and password, use the magic link option and enter your email. You will then get a link in your email that will help you login instantaneously

How to Add Invoices

Option 1: Email

  1. Email receipt to the provided, customized email that is specified for your specific production company [EXAMPLE: invoice+34qe904e15@mail.rollcredits.io] - this email can be found within the "Transactions" tab in Vendors & Contractors. Access the email to send to your specific production company by going here:

Option 2: Upload via Transactions Tab

  1. Or login to app.rollcredits.io and then go to transactions tab, and then click vendors and contractors tab and click upload & scan -> invoice and add their invoice. The AI will then do the data entry and read the invoice

  2. Once the Super Admin or Manager pays the invoice, you will receive an email regarding the payment. You can add your bank details in the payment link to receive the payment.


How to Add Receipts

(for the charges made with p-cards)

  1. If you have used the card, all the charges will show up in RollCredits. You can see them in transactions -> other expenses.

  2. Find the transaction you need to add the receipt to, by clicking review and then adding the receipt in document section. This can be done on the computer or your phone

    3. If you add your phone number in settings, then every time you use the card you will get a text. In the text there's a link. By clicking it you will go to the transaction in your mobile and then you can easily add the transactions

Coding Your Transactions

  1. You're expected to code your transaction by editing the category for the invoices or charges you add. Your Manager will provide you the codes you should use

  2. To add the coding to a transaction

    1. You can edit the categories in the transaction tables

    2. You can click review and then add the category details, You can also add multi categories this way

      Reimbursements

  1. Instead of creating a reimbursement packet manually, all you need to do it take photos of your receipts using the app and mark them as reimbursements

  2. Go to app.rollcredits.io on your phone and login. Then go to transactions->other expenses and click upload & scan and take photo of your reimbursements receipts


  3. You can also email them to the provide email address for your production company provided by us [EXAMPLE: receipt+34qe904e15@mail.rollcredits.io] or upload them from your computer

  4. Once added you can mark them for reimbursement by scrolling right on the table and clicking in the reimbursement column

  5. Your Manager or Super Admin can then process the approved reimbursements once submitted and get them paid.
