Inventory Management

Use Inventory to track storage locations, supply items, stock levels, stock movements, and inventory value across your operations.

Before you begin

Inventory is available to accounts with Operations access. If your account does not include the required Operations subscription, some inventory actions may be locked.

Before recording stock activity, set up:

  1. Storage Locations: Warehouses, property closets, vehicles, maintenance shops, offices, or other storage areas.

  2. Storage Items: The supplies, linens, amenities, maintenance items, or other inventory your team tracks.

Open Inventory

Go to Operations > Inventory.

The Inventory area includes these tabs:

  • Overview

  • Stock

  • Movements

  • Items

  • Locations

  • Reports

Inventory Overview

The Overview shows a quick health summary of your inventory, including:

  • Total inventory items

  • Total inventory value

  • Low stock items

  • Lost items this month

  • Damaged items this month

  • Transfers this month

The Action Required section highlights items that are below their minimum quantity and may need to be reordered.

From the Overview, you can quickly open:

  • View Low Stock

  • Stock Movements

  • Items

  • Locations

Add storage locations

Storage locations are the places where inventory is kept.

Go to Inventory > Locations, then select + Location.

Enter the location details:

  • Location Name

  • Location Code

  • Type

  • Address / Access Notes

  • Room / Shelf / Bin

  • Allowed Uses

  • Tags

  • Inventory Counts

  • Status

  • Notes

Use Inventory Counts to mark whether counts are required or optional for the location.

Select Save when finished.

Add inventory items

Inventory items are the supplies or assets your team tracks.

Go to Inventory > Items, then select + Item.

Enter the item details:

  • Item Name

  • SKU / Code

  • Category

  • Storage Unit

  • Pack Size

  • Tracking Mode

  • Minimum Quantity

  • Reorder Quantity

  • Default Reorder Point

  • Default Par Level

  • Preferred Supplier

  • Unit Cost

  • Replacement Cost

  • Tags

  • Notes

  • Status

Use Minimum Quantity and Reorder Quantity to help identify low-stock items and suggested reorder amounts.

Select Save when finished.

Record a stock action

Stock actions update inventory quantities and create movement history.

Go to Inventory > Stock, then select + Stock Action.

Choose an Action / Reason, such as:

  • Received

  • Transfer

  • Consumed

  • Restock Property

  • Count Correction

  • Damaged

  • Lost

  • Disposed

  • Returned

  • Manual Adjustment

Then complete the required fields:

  • Item

  • From Location

  • To Location, when required

  • Quantity

  • Counted Quantity, if correcting a count

  • Property, when restocking a property

  • Reservation ID, if related to a guest reservation

  • Task, if related to a work order

  • Notes

Notes are required for lost, damaged, and disposed stock.

Select Save to record the action.

Review stock levels

Go to Inventory > Stock to see current stock balances.

The Stock table shows:

  • Last movement

  • Item and SKU

  • Destination or last movement target

  • Current location

  • On hand quantity

  • Available quantity

  • Reserved quantity

  • Damaged quantity

  • Minimum quantity

  • Reorder quantity

  • Inventory value

  • Replacement value

  • Status

Use the search and filters to narrow the list by item, SKU, location, or status.

Statuses include:

  • OK

  • Low

  • Critical

  • Out

Review stock movements

Go to Inventory > Movements to view the inventory audit trail.

Movements show:

  • Date and time

  • Item and SKU

  • Quantity

  • From location

  • To location

  • User

  • Property

  • Reservation

  • Task

  • Reason

  • Source

Use filters to search by location, item, movement type, property, or date range.

Use inventory reports

Go to Inventory > Reports.

Value Report

The Value Report summarizes inventory value by location.

It shows:

  • Item count

  • Inventory value

  • Replacement value

Select a location row to view item-level details, including quantity, unit cost, replacement cost, inventory value, and replacement value.

Loss Report

The Loss Report helps review lost, damaged, and disposed inventory.

Use the date filters to choose a reporting period.

The report shows:

  • Lost inventory value

  • Damaged inventory value

  • Disposed inventory value

  • Related loss movements

Low Stock Report

The Low Stock Report lists items below their minimum quantity.

It shows:

  • Item and SKU

  • Location

  • Current quantity

  • Minimum quantity

  • Suggested reorder quantity

Use the download button to export the report as a CSV file.
