How to Use the RueBaRue CRM: Pipelines, Bookings, Activities, and Follow-Ups

Using the RueBaRue CRM

  1. Select CRM from the main navigation.

  2. Use the CRM menu to choose what you want to manage:

    • Pipelines

    • Owners

    • Guests

    • Properties

    • Leads

    • Housekeepers

    • Maintenance

    • Vendors

    • Other contacts

  3. Use the search box to find a person or property. Depending on the category, you can also filter by property or tag and change the sort order.

Managing a pipeline

  1. Select Pipelines.

  2. Choose the appropriate pipeline, such as guest leads or owner acquisition.

  3. Select + Opportunity, or use the plus button in a specific pipeline stage.

  4. Select the starting stage.

  5. Enter the opportunity information.

For guest leads, this can include:

  • A new or existing guest

  • Name and mobile phone

  • Email

  • Target check-in and check-out

  • Number of guests

  • Property

  • Request details

  • Rate and booking source

  • Expected close and next follow-up dates

  • Custom fields

For owner opportunities, enter the owner’s contact information, request details, expected close date, follow-up date, and available custom fields.

  1. Select Save.

  2. Drag the opportunity card to another column as it advances through the pipeline.

  3. Use the edit or delete icons on the card when needed.

  4. Select the guest or owner’s name on a card to open their complete CRM record.

Reviewing a guest or owner record

  1. Select Guests, Owners, or another category.

  2. Search for and select the person.

  3. Use the tabs on the right:

    • Overview: Contact information, tags, associated properties, and custom fields.

    • Reservations: Current, upcoming, and past bookings. Reservations can be searched by property.

    • Activities: Calls, logged emails, SMS/message history, and record-creation events.

    • Tasks: Follow-up work with due dates and status.

    • Notes: Internal notes about the relationship.

    • Events: Important dated events.

For people, reservation matching relies on the phone number, so keeping that number complete and current is important.

Sending an SMS or email

  1. Open the person’s record.

  2. Select the message-bubble icon near their name.

  3. Choose SMS or Email.

  4. Compose the message. For email, enter the subject and verify the sender information.

  5. Select Send.

  6. If available, select View Conversation to open the full message thread.

For multiple contacts, select their checkboxes and use the orange message button in the list toolbar.

Recording activities

Under Activities:

  • Select Call to record an inbound or outbound call, summary, outcome, and duration.

  • Select Email to record an inbound or outbound email, recipient, subject, sent time, and body.

  • Previously sent SMS and email communication appears in the activity timeline.

  • Use Load older messages when additional history is available.

Important: Email under Activities records an email—it does not send one. Use the message-bubble action to send an actual email or SMS.

Creating follow-up items

  • Under Tasks, select Add Task and enter a title, due date, status, and description.

  • Under Notes, select Add Note.

  • Under Events, select Add Event and enter a title, date, and description.

  • Existing items can be edited or deleted from their cards.
