Managing Templates

Learn how to manage templates for quotes

Salesbuildr works with templates that can be applied to quotes and the self-service feature. To manage your templates, navigate to the quote tab and select templates to view your template library.

Configuring template styling defaults

From your dashboard, go to the Quotes tab and open Styling to access your template styling options. You can configure the default appearance for your templates in the following sections:

General tab: (NOTE: - most MSPs find the default settings work well. Best practice is to leave these defaults as they are

  • Adjust the top, right, bottom, and left margins.

  • (Optional) Upload header and footer images. Header and footer images will appear at the top and bottom of each page. When you apply a page break the header and footer images will appear.

Heading tab:

  • Choose a heading color.

  • Set the heading font size.

  • Adjust heading line height.

  • Configure heading spacing.

Text tab:

  • Select the default text color.

  • Choose paragraph alignment.

  • Set the text font size.

  • Adjust line height.

  • Define paragraph spacing.

Page numbering tab:

  • Enable or configure page numbers on quote PDFs.

  • Include numbering on the cover page and image widgets.

  • Adjust vertical and horizontal positioning.

  • Select the page number color.

  • Set the pagination font size.

  • Choose where page numbers appear.

Adding a Header and Footer Image

NOTE - If you uploaded a header and/or footer in the 'Stying' section the images will appear on every template. Optionally you may add headers and/or footers on the individual quote level by following these instructions:

You may customize your templates by adding header and footer images. Below are example Canva designs you can use:

  • Header image template link

Our example image is 595x67 pixels. Use PNG or JPEG.

After adding your images, update the top and bottom margins in the Styling tab to ensure your design fits properly.

Template Styling

  • Each template and quote has its own Styling tab where you can override the default settings if needed.

  • The Template Heading Font Size controls the text size used in the financial summary and attachment sections.

  • All new templates start with the default styling configuration, but you can customize settings for individual templates at any time.

Custom Fonts

You can upload your own fonts for use in your templates.
Read this article to learn how to upload custom fonts.
These font settings will be applied automatically to new templates you create.

Template Customization

You can create as many templates as you need and personalize each one by adding:

  • Cover pages

  • Images

  • Text

  • Video media

  • Attachments (PDF whitepapers, case studies, marketing material, etc)

  • Footers


Localization

If you need to translate buttons, row headers, or fields into another language, you can use localization sets.

Creating a new template from a quote

When you have created a quote that you would like to use as a template, use the "Create template from this quote" button to add it to your library.

Cover pages

You may create a library of cover pages that can be used in templates and proposals. Best to use high quality (150 dpi/ppi) A4 size image in PNG or JPEG.

Dynamic fields (Variables)

Salesbuildr populates a list of dynamic fields (variables) that can be used to personalise templates, widgets and quotes. Dynamic fields will be automatically filled in based on the customer and contact you selected during the quote creation workflow.

Company Information (Your Customer)

Basic Details

  • {{company.name}} - Company name

  • {{company.number}} - Company identifier

  • {{company.taxId}} - Tax identification number

  • {{company.autotaskCompanyId}} - Autotask integration ID

  • {{image company.logo}} - Inserts the customer’s company logo. You can set size, e.g. {{image company.logo width=160 height=160}}

Company Address

  • {{company.address.companyName}} - Company name for address

  • {{company.address.contactName}} - Contact person name

  • {{company.address.street}} - Street address

  • {{company.address.apartment}} - Apartment/unit number

Applying quote settings to templates

In Settings > Quotes > Configuration, you can set default quote settings that will automatically apply to any quote created from a specific template. This allows you to create presets tailored to different proposal scenarios.

Thank you pages

When a customer approves a quote, you can now redirect them to a thank you page. You can create a new landing page to tell your customer what will happen next. You can select the specific landing page in the quote settings.

Widget Templates

You can view and manage your widget templates by going to Quotes > Widgets.
Widgets act as pre-built content blocks that can include:

  • Text

  • Images

  • Media (videos)

  • Items from your portfolio - products and/or services

These widgets may be dragged and dropped into quotes or templates to speed up your creation process.


Saving Quote Sections as Widgets

While editing a quote, you can save any page section—including text, media, or products—as a widget.
To do this, click the copy icon in the top-right corner of the section.
This allows you to reuse useful content and work more efficiently when building future quotes.


Item Widgets

An content/item widget lets you add one or more catalog items to a widget.
When you insert this widget into a template or drag it into a proposal, the associated portfolio items are added automatically.

Using Videos, Widgets, and Template Settings in Salesbuildr

Salesbuildr provides powerful tools to enhance your proposals—making them more engaging, personalized, and consistent. This guide covers how to use videos, widgets, templates, and localization settings effectively.


1. Adding Personalized Videos to Proposals

Incorporate video content to make your proposals more dynamic and memorable. You can embed videos by simply pasting Loom or YouTube links directly into your proposal.

  • Better understanding: Explains complex IT solutions visually.

  • Competitive edge: Differentiates your proposals with rich media.

  • Improved retention: Multimedia content is easier to remember.

2. Working With Widgets

Widgets let you reuse structured content across quotes and templates, improving consistency and saving time.

Image Widgets

Use full-screen images with text overlays to add high-quality visuals to your proposals.

Locked Widgets

Prevent specific widgets from being edited by unauthorized users—ideal for legal, pricing, or compliance content.

Widget Attachments

Attach documents (e.g., datasheets, agreements) to a widget so they are automatically included whenever the widget is added to a proposal.

Linked Widgets

Link a widget—such as Terms & Conditions—across multiple templates.
When you update the widget, all linked templates update automatically. Linking a widget is optional and only works when adding a widget to a 'Template'. You cannot link a widget to a quote.


3. Assigning Templates to Customers

You can assign a default template to a specific customer:

  1. Go to the customer’s Admin tab.

  2. Select the template to be used as their default.

This ensures the customer always receives proposals based on the correct template.


5. Translating Templates With Localization Sets

Localization sets allow you to tailor templates and quotes to different languages and formats.

You can configure:

  • Language

  • Number formatting

  • Date formatting

Apply a localization set to any template or quote to create multilingual proposals.


6. Sending Quotes From Multiple Company Entities

If your MSP works across multiple entities or business lines, you can configure proposals to display the correct company details.

How it Works

  1. Assign a servicing branch to a customer via the Customer > Edit (pencil icon) > Admin tab.

  2. Insert servicing branch dynamic fields into your templates.

  3. The proposal automatically displays the correct company name and address.

  4. If no servicing branch is assigned, your default company information is used.

  5. Use the Company Bulk Editor to assign servicing branches to many customers simultaneously.
