Learn how to configure advanced approval workflows

By default, you can create internal and customer approval workflows. With the advanced approval module, you can create advanced approval workflows.

Internal approval rules

In Salesbuildr, you have the ability to establish a multitude of rules to ensure internal approval is sought when certain conditions are met. To set these rules, navigate to the "Admin" section, followed by "Quote", then "Quote Setting", and finally select the "Approvals Rules" tab.

Each approval rule in Salesbuildr operates independently. This means that when the conditions of a rule are met, that rule is triggered without considering other rules.

To activate a rule, all the conditions associated with it must be fulfilled. This functionality allows you to formulate various scenarios that lead to different approvers based on the specific circumstances. Here are the criteria upon which you can base your internal approval conditions:

  1. Quote Value: You can set a range for the quote value that activates the rule, defining both a minimum and maximum quote value. Only set a "below value" if your approval workflow requires a stepped structure.

  2. Annual recurring revenue: You can set a low en high value for the annual recurring revenue in the proposal.

  3. Discount: If the discount applied to a quote surpasses a percentage value that you specify, the rule will be triggered.

  4. Categories: If the quote includes items from any of the selected categories, internal approval will be required.

  5. Opportunity Category: If a particular opportunity category is applied, it will necessitate internal approval.

  6. Quote Owner: When the owner of the quote is listed among the selected team members, internal approval will be sought.

Remember, for each rule to be triggered, all the conditions associated with that rule need to be met. Use these options to ensure all quotes align with your company's policies and standards.

Any internal contact that is enabled on the list can provide approval. If Manager approval is enabled, the manager approval is enough to send the quote to the customer.

IMPORTANT: Make sure that users have a primary and optional secondary manager configured in the Admin, Manage, User section.

Using the option below you can tell Salesbuildr to stop processing the next rules if a condition has been met.

Set the order of Advanced Approval workflows

You can change the order in which rules are processed by dragging the order.

Internal manager workflows

You can configure up to two managers that will be used to request approvals. This way, the secondary manager can give approval when the primary manager is out of office or sick.

Customer approval rules

You can configure advanced approvals on the approvals tab. You can add as many customer contacts as needed and optionally configure the order in which they need to sign.

Each contact will receive a request to sign, based on the "Notification to additional contact for quote approval" email template. You can find and customize this template in the Admin, Configuration, Email templates section.

Set a custom contact as approver

In some cases, you will have a situation where one contact person has to review and approve a quote for multiple different entities.

In this scenario, you can use the advanced approval workflow to select any contact from your database as the approver for a quote.

Ask for explicit approval for attachments

Sometimes you want your customer to give you explicit approval for your terms and conditions or any other attachment. You can do this by adding an attachment and checking the "request approval" option. The receiver of the quote will then need to approve these conditions before they are allowed to sign the quote.
