Onboarding and setup

What do I need to get started?

Salesbuildr works stand alone, based on an integration with Autotask or based on an integration with Dynamics 365 Sales and Business Central. For stand alone use, you need either a Microsoft 365 or Google workspace account and a list of product and services that you want to sell. You can create customer and contact in Salesbuildr. Approved quotes can be exported including line item information for downstream processing in finance or accounting tools. See the pre-onboarding checklist for information on how to get started.

Autotask integration

How does Salesbuildr integrate with Autotask?

The Salesbuildr-Autotask integration is built to streamline your sales processes and save valuable time. Here's a quick overview:

  1. Customer data: After the initial synchronisation, Salesbuildr uses Autotask web hooks to receive updates for new and existing companies and contacts. This ensures you always work with up-to-date information and reduces the need for manual data entry. Dynamic fields ensure you can personalise templates so that your quotes automatically contain up to date company and contact information.

  2. Products: Salesbuildr can sync products from Autotask and will automatically update product in Autotask when you add them to a quote and update them in Salesbuildr.

  3. Services: After the initial synchronisation, Salesbuildr will check Autotask for new and updated services for linked services codes every 10 minutes. This ensures that when you use integrations from Ingram Micro, Pax8, CSP Portal or Applicationlink, your Salesbuildr portfolio is always up to date with the latest changes.

  4. Labour: Salesbuildr can sync labour from Autotask to Salesbuildr so you can use it on quotes and as add-ons on products or bundles.

  5. Opportunity Management: When an opportunity is generated, Salesbuildr automatically creates a corresponding opportunity in Autotask and keeps it up to date according to the rules you have set. This keeps your sales pipeline consistent and updated across platforms.

  6. Quotes and Proposals: When you create a quote in Salesbuildr, it will be directly created under the linked opportunity in Autotask. When a quote status changes, the changes will be reflected in Autotask instantly and the opportunity stage and status will be updates according to the rules you have set in the opportunity settings.

  7. Order Management: When a customer approves a quotes in Salesbuildr, the quotes and related opportunity are updated in Autotask. The signed quote will be uploaded as a PDF, including any PDF attachments that you have added to the quote. From this point, you can run the won opportunity wizard to proceed with fulfilment seamlessly by converting the opportunity into a ticket, project or recurring service contract.

The goal of this integration is to help IT Managed Service Providers to boost productivity, enhance sales efficiency, and maintain better customer relationships by ensuring that all business critical data is aligned and updated across both platforms.

Managing your product catalog

What can I sell with Salesbuildr?

Salesbuildr has a catalog that enables you to sell any combination of hardware, software, labour and services with recurring or non-recurring pricing. Additionally, you can use any product or services as an add-ons for other products and services. Finally, you can combine any item from you catalog to create bundles that show up as single line items for customers to simplify how you sell. The bulk editor makes it easy to keep you catalog clean and organised.

If you create a product that has a manufacturer part number (MPN) Salesbuildr will try to download images, name and description from our product content database. If the product is offered by one of your connected distributors, it will download pricing and availability for that product.

I keep an inventory for products, how does this work?

If you you Autotask or Dynamics 365 Business Central, Salesbuildr can automatically import your inventory so that it shows up in Salesbuildr.

Can I delete products and services from my catalog?

Yes. As long as the product or service has not been added to a quote a bin icon will show next to the product in the products tab enabling you to remove it from Salesbuildr.

How does Salesbuildr syncronises companies, contacts and users?

Companies, contacts will automatically update to Salesbuildr when you add or change them in Autotask, as long as you have provided webhook permissions to the API user. Users get updated with an hourly synchronisation.

Does Salesbuildr support customer specific pricing books?

Yes. You can add a selection of products and services from your catalog into a customer pricing book. Read this article to learn how.

Where can I edit the vendor part number (VPN) of manufacturer part number (MPN)?

You can edit that field on the Admin tab in the product edit dialog.

Can I export my product catalog?

If you have the premium plan, you can export your catalog to csv for external analysis or downstream processing. Use the export button on the products tab to export the filtered qoutes. Click this link to view what's exported.

Proposals and quotes

Can I hide or show the products manufacturer part number?

Yes. You can configure default behaviour trough the quote configuration settings, or enable this on a per quote basis.

Can I hide or show the products manufacturer part number?

Yes. By default the manufacturer part number (MPN) is hidden. You can choose to make it visible to your customer trough the quote configuration settings.

Can I hide or show product availability?

Yes. By default the product availability is hidden for customers. You can choose to make it visible trough the quote configuration settings.

Can I set rules for internal approval workflows

Yes. By default you can set basic approval workflows based on order value, discount or items from specific categories. The premium plan offers advanced approval workflows.

Can send email notifications to a shared mailbox?

Yes. You can configure external email addresses to receive quote notifications trough the quote configuration settings.

Can I set rules for the internal approval of quotes?

Yes. You can set approval rules based on the order value, discount or if the quote contains products from specific categories. quote configuration settings. The premium version contains advanced approval workflows.

Can send my proposals as a PDF file?

Yes. You can choose to send the quote as a PDF attachment. We do not recommend this as you cannot chance a PDF after it has been send.

Can my customer add a purchase order number?

Yes. You can choose to make the purchase order number (PO) field visible trough the quote configuration settings. If you enable this field you customer can add a PO number during the approval of the quote.

Can my customer add a note to the proposal or quote?

Yes. Your customer can add a note during the approval of the quote. This will be sent to the Autotask opportunity entity so it can be used in downstream processes.

Can I configure how products or services show up on quotes?

Yes. You can set if a line item will show using the name, description or name+description fields. For services, you can also choose invoice description. You can set this on the quote configuration settings.

Can I outsource the template creation proces to my marketing agency?

Yes. You can invite your supplier, enable sign-in access and provide the user with the template edit permission role. They can they login and will only have access to your template library.

Can I withdraw an approved proposal?

An already approved proposal can not be withdrawn, you can however copy the quote within the same opportunity and send a new proposal should the customer require an adjustment on the quote after signing. You can then delete the approved quote that was incorrect. Make sure you also delete the approved quote your PSA. (Autotask / Connectwise)

How can I prevent customers from signing in?

You can hide sign-in options for customers by navigating to Admin, Quotes, Quote settings. Here, make sure "Turn on anonymous approvals for your site" is enabled. Then select the quote settings tab and make sure "This quote can be approved without logging in" and "Hide sign in options for anonymous user on quote presentation page" are enabled.

For each template that you have, be sure to check if "This quote can be approved without logging in" and "Hide sign in options for anonymous user on quote presentation page" are enabled on the template settings page.

How can I change the quote numbers?

If you run Autotask, you can change the quote numbering by navigating to Admin, Features & Settings, System Settings. Expand the CRM section to adjust the "Next quote number"

Can I export my quotes?

My quote isn't synchronising to Autotask

This could be cause by several reasons. Most of the times this is caused because you have selected a contact that has been activated, a payment term that has been removed or an opportunity category or sources that has been removed. You can view the reason by clicking the icon below or by navigating to the related opportunity and checking the sync state window at the bottom left of the page. Once you have fixed the underlying issue, you can click retry to force a sync.

Companies and contacts

Can I export my companies?

If you have the premium plan, you can export your companies to csv for external analysis or downstream processing. Use the export button on the companies tab to export the filtered companies.

Distributors and pricing lists

What distributors does Salesbuildr support?

Salesbuildr can automatically download product information, pricing and availability from a wide range of distributors. You can view the latest overview of supported distributors on this page. This page also contains who to reach out to in order to request credentials for pricing feeds.

Can I import a list of products and services?

Yes. The premium version enables you to import a vendor quote, special bid or list of product and services into your catalog, customer pricing books or quotes. This includes importing products with a bill of materials (BOM). Salesbuildr works with XML or CSV source files, or you can copy and past from any spreadsheet. You can choose to overwrite product information based on the manufacturer part number (MPN).

Sending Emails

Mail that is sent by Salesbuildr end up in my customers spam folder, what's going wrong?

Why Emails End Up in Spam Folders

Emails may end up in the spam folder for a variety of reasons, many of which are beyond the control of Salesbuildr and its integration with SendGrid. Here are some common factors:

  • Email Content: Certain keywords or attachments can trigger spam filters.

  • Sender Reputation: If the sending IP address has a poor reputation, emails are more likely to be marked as spam.

  • SPF/DKIM/DMARC Records: Incorrect or missing SPF, DKIM, or DMARC records can result in emails being flagged as spam.

  • User Behavior: If a significant number of recipients mark an email as spam, future emails are more likely to be flagged.

  • Firewall Settings: Corporate firewalls often have their own set of rules for flagging emails as spam.

  • Global Blacklists: If the sending IP or domain is on a global blacklist, emails will likely be marked as spam.

What Can Be Done

Review Content: Make sure the email content doesn't contain any keywords commonly associated with spam.

Check SPF/DKIM/DMARC: Ensure these records are correctly set up in your DNS settings.

Monitor Sender Reputation: Use tools to monitor the reputation of your sending IP address and take action if it starts to decline.

Engagement Tracking: Monitor how recipients engage with your emails and adjust your strategies accordingly.

Consult IT: If you suspect firewall settings are the issue, consult with the IT department of the affected party to adjust settings or whitelist your domain.

Limitations of Salesbuildr Support

While Salesbuildr facilitates the email sending process through SendGrid, it does not have control over the receiving end, particularly the firewall settings of the end customer's domain. These settings are managed by the end customer's IT department, and Salesbuildr cannot alter them. Therefore, Salesbuildr cannot provide support for issues related to emails landing in spam folders due to such settings. It's crucial for the end customer to consult their IT department to ensure that emails from your domain are whitelisted and not flagged by their internal systems.

Uceprotectl3

Sendgrid indicates that Uceprotectl3 is not a reliable party to use as a spam filter. We have done some research ourselves, resulting in two additional sources that support this view (TransIP) and (Reddit, see first comment).

Here you can see that Uceprotectl3 is the only party that has blacklisted this IP from Sendgrid, with the aim of being paid for removal or waiting until you automatically disappear from the list within 7 days.

Therefore, we cannot influence this, and it is unrelated to the proper functioning of Salesbuildr or Sendgrid. If you have more examples of messages, we can look into it, but the findings of this research are clear in my opinion.

The only solution we see is for you to either remove Uceprotectl3 as a source for the spam filter yourselves, or request the customer you are emailing to do so, referring to the sources that describe the fraudulent nature of Uceprotectl3.

Charges

Charges do not get imported from Autotask. If you want to convert hours to charges in Autotask you will need these hours as a product within Salesbuildr, which you can then convert to charges in the won-wizard in Autotask.

Parent-child

If you setup a parent-child relationship in your PSA this relationship is usable within Salesbuildr. A user under the "parent" organisation will then be able to accept quotes for the "child" when logging in.

Custom prices

when going to the pricing page on a product, you can edit existing custom prices and delete them from there
