Why is my recording still saying it’s "Scribbling…"?

Written by Melissa Duarte

If a ScribbleVet note has been in the “Scribbling…” state for more than 5 minutes, it needs troubleshooting. The two most common fixes are refreshing the app and deleting any untitled or inaudible recordings from the visit

Note: Normal scribbling finishes in under 5 minutes; usually within 1–2 minutes. Anything that is taking longer is worth troubleshooting and then reaching out to the Support team for help.

How to troubleshoot a note stuck in “Scribbling…” mode

Try these in order:

  1. Wait up to 5 minutes. "Scribbling…" means the note is still processing.

  2. Cancel the Scribble and try again

    • Select the X next to “Scribbling…” to cancel the process.

  3. Force close and reopen ScribbleVet, or hard refresh the website with Cmd+R (Mac) / Ctrl+R (Windows).

  4. Check your internet connection, then reload ScribbleVet.

  5. Check that ScribbleVet is updated to the latest version via your device's app store, or your browser settings, if using the web version. See Compatible Devices for more details.

  6. Open the appointment in ScribbleVet and check for any untitled or inaudible recordings. Deleting these recordings will allow the note to finish scribbling. Always delete recordings from the original device used to make the recording.

To delete a recording from a browser:

  • Expand the Transcript section of the appointment.

  • Select Recordings and identify any that are untitled, inaudible, or with an unusually short duration (like 0:04). An incomplete audio file can block the visit from scribbling.

  • Click the three dots (⋮) next to the recording and select Delete. The deletion may take a few seconds. After you delete the recording, the note will begin scribbling.

To delete a recording in the mobile app:

  • Tap on the recording to be deleted

  • Select Delete from the Actions section under the Info section

7. Open ScribbleVet on a different device (phone, computer, or tablet) to rule out a device-specific issue.

Tip: If you regularly see "untitled" recordings, close out any other app that uses the microphone before you start a ScribbleVet recording. Apps like Zoom, Siri, Google Assistant, or social media apps using the microphone are a common cause of empty or partial audio files.

Prevent delays before they happen

A few quick habits to keep recordings clean and processing fast:

  • Keep your microphone volume above 60%.

  • Stay 6–12 inches from the microphone while speaking.

  • Close apps that use your device’s microphone before starting a recording—those apps can keep control of the mic.

  • Stay within the 3-hour per-session recording limit. ScribbleVet automatically stops recording at the 3-hour mark. You will need to press Record to start a new recording (you can record as many times as needed within a single appointment).

  • Keep the ScribbleVet app up to date.

  • Keep the app open and the screen active after stopping a recording until the upload completes.

  • Avoid locking your phone or switching to another app during the upload.

  • Use devices that are no more than five years old for optimal performance.

Device Storage Issues

ScribbleVet may display a low storage alert if your device has limited storage, which can cause recordings to fail to upload or sync to the cloud. To resolve this:

  • Delete unused apps.

  • Back up or remove old photos and videos to cloud storage.

  • Clear downloads or large files.

  • Restart your device after freeing up space to refresh storage availability.

Frequently asked questions

How long should "Scribbling…" normally take? Under 5 minutes—usually 1–2. Anything beyond that needs troubleshooting.

What do I do if the “Delete” option is grayed out? If the option to delete the recording is gray/unavailable, try using the mobile app to delete the recording. If the note is still uploading, we recommend keeping the app open on the device where the recording was made until the upload process is complete, as well as checking that the device’s internet connection is strong and stable.

Why is there an "Untitled" or "Inaudible" recording on my visit? This usually happens when the microphone was held by another app (commonly Zoom), the recording was very short, or no usable audio was captured. Delete the Untitled or Inaudible recording to allow the note to finish scribbling This may also appear as "Transcribing..." or "No speech detected," indicating that ScribbleVet cannot process the audio due to a lack of speech or medically relevant content. Alternatively, you can re-upload the audio to trigger processing: Open the appointment, go to Transcript → Recordings, select the untitled recording, and choose Share. Download the recording to your device and re-upload it to force a fresh upload.

My recording shows that it’s only a few seconds long, but my exam was much longer. What happened? The audio file didn't capture properly—most often because another app was using the microphone. Delete the short recording and start a new recording with all other audio apps fully closed.

Will I lose my notes if I delete a stuck recording? You'll only delete the audio file that's blocking the visit. Any other recordings and the transcript already attached to the appointment stay intact. Recordings are available to review and download for up to 90 days. It is highly recommended to play recordings before deleting them to ensure the correct recordings are being deleted. Once a recording is deleted, it cannot be recovered.

Can I exclude parts of a recording before transcription?

ScribbleVet processes the entire audio file and cannot start transcription from a specific timestamp. To exclude earlier audio in a combined recording:

  1. Download the recording: Open the appointment → Transcript → Audios → three dots (⋯) next to the recording → Download.

  2. Split the audio: Use an audio editor to cut the file at the desired point, keeping only the relevant segments.

  3. Re-upload the segments:

    • For the original appointment: Delete the combined recording, then upload the first segment.

    • For the new appointment: Upload the second segment.

Alternatively, re-record the appointment and upload the correct audio.
