Determine your own criteria for classifying vendors

Step-by-Step

1. Go to Gear > Users and click on the edit icon next to your user name.

2. Scroll down and verify that you have the permission "Workflow Management".

3. Click on the S2Vendor icon and select the Workflow tab from the left-side menu.

The only workflow in the list will be "Default Workflow". It cannot be edited but it can be copied or deactivated (with replacement).

4. Click > Add Workflow button. A new workflow line item will appear.

5. Create a name for the new workflow and click > checkmark icon.

6. Click the new workflow name to begin. A new screen will open displaying the workflow.

7. Open the dropdown next to Default Classification and click > Add New.

A new screen will open displaying the classification questionnaire builder.

8. Click > pencil icon at the top of the page to rename the classification questionnaire.

9. Click > checkmark icon to save the new name.

10. Click > +Add New Question button. A new properties panel will open on the right.

11. Add the question text under title.

12. Add any helper text. This will be displayed as a tooltip next to the question.

13. Click > Save button.

14. Click > +Add Field button. A new properties panel will open on the right.

15. Select a field type from the dropdown. The following fields types are available:

  • Comment Box

  • Date Picker

  • Dropdown

  • Multiple Choice

  • Single Choice

  • Textbox

WARNING: Only certain fields types are scoreable. You will need scored criteria in order to set the ranges for low, medium, and high impact vendors.

  • Dropdown [scoreable]

  • Multiple Choice [scoreable]

  • Single Choice [scoreable]

16. Provide additional information as determined by the field type. Not all criteria is necessary.

17. Determine if this is a required field. Required fields cannot be bypassed without the field being filled.

18. Create response options as determined by the field type. Type the option name in the text box and add an option score if applicable.

19. Click > + icon to add the option.

20. Click > Save button.

21. Add additional questions as desired.

22. Use the Preview button to test the relationship owner view.

23. Use the Design button to get back to the classification questionnaire builder.

24. Click > Scoring button. A new scoring panel will open on the right.

25. Distribute the total number of points across the low, medium, and high levels. This will determine how vendors are classified during the classification step so be intentional.

26. Click > Save button.

27. When the classification questionnaire is complete, click > Publish button. A pop-up window will appear.

28. Click > Ok button. The screen will refresh to show that the classification questionnaire is LIVE.

29. Return to the specific workflow screen.

30. Open the dropdown next to Default Classification and click > the newly created custom classification.

The screen will update to show that the built-in default classification has been replaced by your custom classification.

31. Return to the Workflows screen.

If you will exclusively be using the custom workflow, click > Deactivate button next to the built-in default workflow. This will divert all of your vendors automatically to the custom workflow.

If you will be using multiple classifications simultaneously, you can select the proper workflow in the Vendor Profile at the time the vendor is added or when subsequent re-evaluations are being kicked off.

WARNING: Workflows cannot be selected once the evaluation is underway.

To edit any custom classifications, navigate to the Custom Workflow and click > gear icon.

A new screen will open displaying all classifications.
