Booker vs Paymaster Behaviour in Mews

Understand how Booker and Paymaster are assigned and updated based on whether a booking includes a Room Block or only Events and how this affects their behaviour.

The assignment of Booker and Paymaster depends on whether a booking includes a Room Block. Room Blocks play a key role in determining the Booker, which is linked to the Contact on the booking. Bookings with only Events behave differently, where Booker and Paymaster typically remain the same unless manually updated.


How It Works

Scenario 1: Booking Includes a Room Block

When a booking includes a Room Block:

  • A Booker will be assigned to the Room Block in Mews.

  • The Booker will be the Contact assigned to the booking.

Before Definite Status

  • If the Room Block is created before the booking reaches Definite status, the Contact will automatically be assigned as the Booker in Mews.

  • In Lead or Tentative status, the Booker may also update automatically if:

    • Fetch from PMS has been clicked, or

    • the sync process has already run.

If the Booker and Paymaster Are Still the Same

If the Booker has not updated and still matches the Paymaster:

  1. Click Fetch from PMS.

  2. The Booker should update to the assigned Contact.


Scenario 2: Booking with Events Only Becomes Definite Without a Room Block

If a booking contains only Events and is moved to Definite status without a Room Block:

  • The Booker and Paymaster will remain the same.

  • A Contact is only automatically assigned as the Booker when a Room Block was created before the booking became Definite.

How to Update the Booker

If the Booker should be the Contact instead:

  1. Open the booking in Mews.

  2. Manually change the Booker to the Contact.

  3. Return to Event Temple.

  4. Click Fetch from PMS.

The Booker should then update correctly.


Scenario 3: Booking Includes Events Only (No Room Blocks)

If the booking contains only Events and no Room Blocks:

  • The Booker and Paymaster will remain the same.

  • This is expected behavior because there is no Room Block associated with the booking.
