Using Room Block Sync

Connect Event Temple Room Blocks to Mews Availability Blocks! How Do I Sync My Room Blocks with Mews PMS?

Information Mapping

The following table outlines the mapping of Event Temple Fields to Mews Fields. It's important to note that not all fields on an Event Temple Room Block map over to an Availability Block in Mews.

Any fields that are not mapped can be edited as always in Event Temple.

Configuration

  1. Click on Settings in the left-hand sidebar

  2. Select Integrations

  3. Click on PMS

  4. Click the Edit button

  5. Under Guest Room Control, click on Accommodation Services and select the appropriate "reservable" service from the dropdown. (Usually, this is called "Stay")

  6. Configure and map your Taxes

  7. Check the Enable Group Sync box

  8. Click Save

  9. Click Sync Room Types (This will sync them with Mews' Space Categories)


Checking Availability


While editing a Room Block in Event Temple you can now check the live availability of your room types in Mews.

  1. Select + Add Room Block on a booking, or choose Edit to check availability for an existing Room Block.

  2. From the Room Block screen, click View Availability in the top-right corner to open a pop-up window showing availability by room type per day, as well as the total number of rooms available at the hotel per day.

  3. The next screen will display the room availability for the selected dates (Note, the dates can be changed from this screen to view availability.)

  4. Alternatively, after selecting a rate code, you can click Check Room Availability to view availability by room type and date directly within the window.


Add a New Room Block

  1. Access the Booking

  2. Select a Booker (if one is not selected, the Primary Contact will be used - note this cannot be changed after saving the Booking)

  3. Click + Add Room Block

    1. Optional: Review room availability by clicking the View Availability button at the top-right or Check Room Availability

  4. Fill out the respective fields

  5. Select Mews Rate (see 'Specify a Mews Rate' below)

    1. Click "Edit Rooms and Rates" if you need to adjust the daily rate*.

  6. Add Room Blocks

  7. Click Save

Depending on your settings, either the "Create on PMS" box will be selected by default when creating a new booking or group, or the room block will sync automatically when the status is set to Lead, Tentative, or Definite.

  • Lead in Event Temple = "Enquired" in Mews

  • Tentative in Event Temple = “Optional” in Mews

  • Definite in Event Temple = “Confirmed” in Mews

When a group is in Lead status, it does not block or hold any availability in Mews

The group will only start blocking availability in Mews once its status changes to either: Tentative or Definite.

Once the sync is successful, new buttons will be available.

View in PMS - This will open a new tab taking you directly to the "Availability Block" in Mews that corresponds to this Room Block.

Fetch from PMS - This will run the sync again and ensure that all this Room Block information is up to date in both systems.

Once a Room Block is synced with Mews, all reservations created on it will be automatically counted towards the pickup values shown in Event Temple.

Regularity of the Background Sync

On an hourly basis, Event Temple checks Mews for:

  • Updated availability blocks

  • Updated reservations

Either of these will trigger the group to be completely re-synced in Event Temple.

If in doubt, the Room Block can be manually synced using the Fetch from PMS button listed in the steps above.

Additional Information

  • The Group Code field is now auto-populated with the booking ID (BK-00XYZ)

  • The Group will fail to sync if no Release Date is provided

  • All reservations on the availability block in Mews (regardless of status) are counted towards the pickup values shown in Event Temple

  • Double / Triple / Quad cannot be used as part of the Group Block Sync as Mews availability blocks don't have occupancy levels.


Working with Rates and Pricing

Automate or Specify a Mews Rate

Automate Mews Rates

Within your PMS Integration Settings you can map Market Segments to a Rate. When creating a Group, the rate will be automatically set based on the Account’s market segment.

Specify Mews Rates

Whether you choose the above option or not, you will still be able to manually select a rate at the time of creating a Room Block, if you prefer.

  • The list of rates to choose from is synced nightly

  • The moment you select a rate the pricing is fetched live from Mews and shown in the room block grid

  • Once a group is synced with Mews you cannot change to a different rate

  • You can change the pricing, but if you selected the wrong rate and clicked save, you’ll need to mark the group as “Lost” to cancel it in Mews, and then delete the Room Block in ET, and start fresh

  • Any changes to the rate pricing will only affect the Room Block, not any other Room Block with the same rate

  • If adjusting the arrival and/or departure date, the rate on the Room Block will remain the same.

How to Edit Room Rates

When creating your Room Block you have the option to click on "Edit Rooms and Rates" once you have selected your MEWS Rate.

From this window, you can specify the rate for each room type. Please note that pricing can only be set for Single Occupancy at this stage. When managing rooms under the Reservations tab, you’ll be able to adjust the price for each occupancy level.

Please note that your documents pull information only from the Room Block. To specify supplement pricing for double, triple, or quadruple occupancy, we recommend adding a text box beneath the Room Block in your document that clearly outlines the additional costs.

Set Daily Rates Using Override Pricing

To set different rates for specific dates, use the +Add Override Rate option.

  1. Select + Add Override Rate.

  2. Choose the date range for which you want to override the rate.

  3. Click Add.

  4. Adjust the rate as needed.

  5. Repeat these steps if you need to apply different rates to additional date ranges.

Taxes on Rate Codes

Guestroom rates from MEWS are pulled into Event Temple as either tax-inclusive or tax-exclusive, based on your settings in MEWS.

If your MEWS account is set to tax-inclusive, Event Temple will receive all guestroom prices as tax-inclusive. All guestroom taxes are configured in MEWS and cannot be overridden in Event Temple.

You do not need to set tax values in this window, as the tax settings on the rate code in MEWS will always take precedence. If you need to make changes to the tax applied to this rate, please manage those updates directly in MEWS .

Leave this field empty - taxes will be set and managed entirely within MEWS.


Link to an Existing Mews Availability Block

This process will generally be for existing Mews customers linking to a new Event Temple account. Our recommendation for existing accounts is adding Room Blocks directly in Event Temple.

In Mews:

  1. Find the Availability Block that you need to link to Event Temple

  2. From the Availability Block screen, click the pencil icon in the top right corner

  3. Scroll down until you see "External Identifier"

  4. Copy the value in this field

In Event Temple:

  1. Access the existing Booking

  2. Click + Add Room Block

  3. In the Room Block Code field, add the External Identifier you copied from Mews

  4. Enter in any other required fields (you do not need to enter everything as the details will be synced from Mews)

  5. If applicable - untick the “Create on PMS” checkbox. If you leave it selected, a duplicate booking will be created and you won’t be able to link the original room block from Mews.

  6. Click Save

Admin users can then batch sync the Groups in Settings:

  1. Go to Settings > Integrations > PMS

  2. In the Sync options, click Link and Sync Non-Synced Groups

Please Note: If your Availability Block does not have an External Identifier set, you will not be able to sync the block to Event Temple. This field is not editable in Mews once the Availability Block is created.

Error Message: If you see the error message below, a duplicate booking may have been created during the process.

Before syncing, ensure the “Create on PMS” option is unticked. If this option remains selected, the system will create a duplicate booking, resulting in the following error:

Sync with PMS failed: This booking already has an availability block in Mews. All availability blocks in Mews with external ID ‘’xxx’’ must be canceled before this can be synced.


Pickup and Reservations

When a group’s availability blocks are picked up — aka reservations are created for it in Mews or Event Temple — those pickups will now automatically appear on the Room Block back in Event Temple!

Notes:

  • Group pickups won’t be synced back to the booking if the booking already has a different “reservation group” linked to it.

  • If reservations are linked with the availability block, then we DON'T allow creating reservations from Event Temple

  • Room Block Sync will also fetch and sync the newly created reservations in Mews to Event Temple.

Pickup Complete

  • The Pickup Complete checkbox is read-only

  • Users cannot manually edit this field

The checkbox behaves as follows:

  • Group is synced with PMS & has not yet departed
    → Pickup Complete is unchecked and read-only

  • Group is synced with PMS & departed at least 1 day ago
    → Pickup Complete is automatically checked and read-only

If pickup fails to sync from the PMS, the checkbox will remain unchecked—helping surface potential sync issues.

Cloning a Room Block with Mews

When cloning a Room Block that is synced to Mews, you have the option to include:

  • Room Block
    This will clone the Room Block information, including the Room Block Name, Status, Arrival and Departure Dates, and the number of Blocked Rooms.

  • Room Block Pickups
    Selecting this will not automatically sync picked-up rooms. Pickups will need to be processed manually once the reservation is synced.

  • Room Block Custom Fields
    Any custom fields associated with the Room Block will be cloned over.

Important: When a Room Block is cloned:

  • The booking will be cloned in Lead status.

  • The cloned Room Block will no longer be synced to Mews.

You will see the following error message:

“Sync with PMS failed: Rate is required when syncing with Mews”

Additionally, the Number of Rooms Picked Up field will display the number of rooms picked up from the previous booking.

Note: The rooms are not yet picked up in Mews since the Room Block is not synced.

How to Sync the Cloned Room Block with Mews

  1. Edit the cloned Room Block.

  2. Select the rate code you wish to use.

  3. A pop-up message will appear asking whether you want to:

    • Keep the Mews pricing from the rate code, or

    • Keep the ET pricing.

  4. Make your selection and click Save.

Once saved, the Room Block will be successfully synced to Mews, and you can proceed with picking up reservations.


Cancel a Room Block & Reservations

When updating a Room Block to Lost it will automatically change the Room Block Status to Lost & cancel the Availability Block in Mews. We automatically set the canceled reason as “Other” with a note “Canceled in ET”

When changing the status of a Booking to Lost, you will see a Reservations Cancellation section at the bottom of the status options:

Important Considerations

Both of these options will only be visible if there are active Reservations synced to the Booking (Inquired, Optional, Confirmed). Both options are mandatory meaning you cannot change the status of a group to lost without cancelling the reservations as this results in an error.


Overbooking Warning for Groups Synced with Mews

Overbooking the blocked rooms for a Room Block that is syncing/synced to Mews will display an overbooking warning before saving

When syncing a group with Mews or saving a synced Room Block, the system now checks the number of rooms blocked against the actual availability. If the group’s blocked room amounts exceed availability, a pop-up will appear listing the affected room types, dates, the quantity blocked, and the number of rooms available.

You can choose “Continue” to proceed with saving or “Cancel” to return and adjust the blocked amounts.

This warning will only appear when the blocked amount has been changed in the room grid and only for groups syncing/synced with Mews. Groups not synced with Mews will not display any warnings.

Important Considerations

  • The Room Block Code field is auto-populated with the booking ID (BK-00XYZ)

  • The Room Block will fail to sync if no Release Date is provided

  • Room Blocks do not obey Mews restrictions

  • All reservations on the availability block in Mews (regardless of status) are counted towards the pickup values shown in Event Temple

  • Double / Triple / Quad cannot be used as part of the Room Block Sync as Mews availability blocks don't have occupancy levels

  • When searching a rate, you must search the rates, not a rate group name

Regularity of the Background Sync

  • Groups are synced automatically every 15 minutes or when the Booking Summary page is loaded.

  • Reservations are synced automatically once per day.

Either of these will trigger the Group to be completely re-synced in Event Temple. If in doubt, the Group can be manually synced using the Fetch from PMS button listed in the steps above.

  • The Booker must be added prior to adding a Group, otherwise the Primary Contact will be used.
