Multiple email sending accounts and increased bulk email limits.

What is Email Sender ?

The features of Email Sender allow your system administrators to add and control multiple sending email addresses to your account which your staff and admins can choose from when sending out emails from the system.

You also have the ability to turn on and allow your staff and admins to send from their own user account email address as long as their email domain matches the domain set up for your flock.

In addition to the above features having the Communication Pro pack activated allows you to send even more bulk emails increasing your limit of 1500 recipients to 3000 when sending a bulk email. This is extremely useful for anyone sending bulk emails regularly to large segments where previously you need to manually split that segment up into more than one segment.

Who is eligible for this feature and how much does it cost as an add on if not included in my license?

sheepCRM - Core System

sheepTeams Module

  • You must have the sheepTeams module included in your license to use this add on.

  • To use this feature for sheepTeams - Β£29* per month (single fee covering all teams)

  • Team Leaders with Custom User Group Permissions - one off set up fee of Β£250*

What are the limitations or important points to understand?

  • This feature only applies to emails sent from sheepCRM by users, such as individual messages, bulk emails from segments or from Teams (for customers with the sheepTeams module included in their license).

  • Automated emails from sheepCRM cannot be set to send from different email senders, these still go from your set main email - settings here.

  • The email accounts used for this type of sending must be email addresses using the domain connected to sheepCRM. More info below.

How to manage email sender addresses?

The following only applies if you have the Email sender feature activated.

Head over to - Settings > Communications & Flow > Email Settings

From here you will see a new settings block called 'Email Senders' next to your standard email flock settings.

You have a few different options when setting up the emails that can be used by the system and we will cover them below.

⚠️ Important information regarding setting up different email addresses

When allowing different email addresses you must stick to the following rule.
​
​- Any email address added must come from the same domain as your main flock email address.
​
​Example:
​
If your main configured email address for your flock is something like:
​info @ yourbusinessname.com
​
This means that the domain set up for sending email is:
​yourbusinessname.com
​
This means any and all email addresses added to the Email Sender options must use that domain.

Allow user email sending

Toggling 'Allow user email sending' to yes, allows sheepCRM users to send email from their user account email address, however, they will need to have the same domain as described above for it to work. This then allows them to select their email address over a default one if they choose to.

Adding an email sending account

To add a new email account press the 'Add email account' link which will open up the below modal where you can then provide the information of the new sending email account as well as set the permissions on who can use it.

​Sending Name = Example: Membership Team


​Available to all users?

The default toggle is set to no which means you need to select specific users that can use this email address from the option underneath.

If set to yes then any and all users of your flock with permission to send email can send email from this account.

On for selected users

Only applicable if ​'Available to all users?' is set to no, allowing you to restrict the use of the email to the users you select from the dropdown.
​

Editing and deleting an email sender account

To edit an email sending account you have added or delete one. Just click the edit button from the list of email accounts that have been added. This will open the edit modal and you can change the settings and delete it from the modal options.



How to select an email address when sending an email?

Once you have added additional email sender addresses and if you have the correct permissions as a user, you can then select those email addresses when sending email from the system.

There are a few places where you can send email as a user.

  • From a Contact record via messages

  • From a Segment via the action email segment

  • From the Segment Directory

  • From a Team via the email contacts button

In the below example, we are sending an email from a contact record, but it will be true for each of the other examples as well. As you can see there is a new field there which depending on the sending options and your permission will allow you to select a different email other than the flocks default one. ​Each time you send an email you can choose to select a different one from the options.
