Settings: Adding appeals

Appeals can be created and managed in SheepCRM. These can be purely internal, or visible for end-users to donate to through sheepApp.

Your current appeals can be found in the sheep settings section. Go to settings.sheepcrm.com and log in to your CRM user account if not already. From the settings section, click on the giving tab in the navigation and click on the appeals option to view your existing appeals.

Creating an Appeal

To add a new appeal, click on the add appeal button located in the top right of the existing appeals list. This will bring up a blank sidepanel with the following fields:

Name

Enter the name of the appeal, this should be clear in the goal, but as short as possible.

Description

Enter the full description of the appeal, including the organisation or group that are behind the appeal, what they need to raise money for and how that money will be used. Use as much detail as possible to help promote the appeal.

Short Description

An abbreviated version of the description to appear in results. Should be a short and clear as possible.

Summary

State what donations made towards this appeal will be used for. This will replace the default call-to-action which is defined in your general giving settings.

Appeal Target

Optionally, enter an amount to specify the target goal for the appeal.

End date

Optionally, enter an end or expiry date for the appeal. This will stop the appeal appearing in sheepApp once it has 'ended'.

Allow regular donations

Set this to "yes" to allow donors to set up recurring donations for this appeal, donating a set amount every month.

Photo & Secondary Photos

Upload images to showcase or promote the appeal. Ideally, these should be landscape and in JPEG format.

Please note that the primary image for the appeal will be used in donation cards inside the giving tab for contacts. If no primary image is used in the appeal, the image will be missing and there will be a letter instead of an icon - so we recommend adding images to help identify appeals quickly and easily as well as promote the appeal to users in sheepApp.

Accepting Donations

Toggle whether users should be able to make donations to the appeal. Useful if you want to still promote the appeal but already have hit the donation target.

Office Only?

If you do not want the appeal to appear on the self-service app, check this field. This is useful for appeals that you wish to manage internally.

Featured Appeal?

If you want the appeal to be displayed more prominently in the self-service app, check this field. This will show the appeal at the top and allow for more information on the summary.

For the featured appeals cover photo, it will still use a 16 / 9 ratio image but if you have any text then its best to include this in the safe area as outline below. You can use this image as a template.

Edit an existing Appeal

From the existing appeals list, scroll down to the desired appeal and click on the name or the edit icon located to the right of the type to bring up a sidepanel with the current data. For more information on each field, please see the adding a new appeal topic above.

Viewing / Managing Donations

Your existing appeals can be reported on inside SheepCRM by going on the reports section. In the sidebar there are several reports for appeals: Fundraising Appeals and Fundraising Scorecard.

Fundraising Appeals

Appeals shows the 'live' appeals that have been running for the target time period. Each applicable appeal will appear in the card. Click on the appeal to view a a complete list of donations made for the chosen appeal.

Donors can be clicked on to get more information, including contact information. The donations made for the time period can be exported as .XLS for managing with a spreadsheet editor tool.

Fundraising Scorecard

The scorecard shows new and repeat donors for the target time period. Clicking on the number of donors or the amount donated to see a list of donations, along with the amount donated and the target appeal.

Restrictions on Fundraising

When creating an appeal, it is important to be aware of the rules and guidelines for Restricted and Unrestricted funding. When setting targets and goals for appeals it is important to understand the difference between restricted and unrestricted funding.

Examples of restricted funding could include beneficiary gifts, emergency appeals where the money raised will be for a specific purpose, or a grant given for a particular purpose or project.
