The key parts of the system for you as users

sheepCRM has many parts, components and features.

This article is used to explain the basic structure of the system and highlight the importance of two main things for main users of sheepCRM;

  • Settings

  • Contact Records

This is because these two things are the main areas which join all parts together, make the tools effective and work for you in your role.

The contact records are central to everything for users as this is where your relationships exist, where you find information and record interactions.

To explain this in steps;

  1. The sheepCRM API is the foundation of the entire platform, it connects everything together within the system, including integrations with other systems such as websites, Eventbrite and GoCardless.

  2. Your organisation pays a licence to access the system and specific packs of data and tools. This makes them available in settings.

  3. Settings are used to inform the use of those products, e.g. costs of membership, email templates.

  4. This creates the detail of your database and informs what is available in contact records, saving you the job of entering all the details again and again.

  5. Your contact records are where your relationships exist, and all engagements are recorded etc.

  6. The information captured in the contact records is also fed by integrations e.g. emails sent from Mailchimp or events booked via Eventbrite.

  7. The records and data within the contacts inform reports such as membership numbers, number of event tickets booked etc.

  8. Remember there are many other areas of the system but that is covered in later training specifics.
