Settings: Membership defaults & options

Follow this guide to help configure your options for membership, such as membership numbering as well as grace periods and renewal windows.

Your current membership settings can be found in the sheep settings section. Go to settings.sheepcrm.com and log in to your CRM user account if not already. From the settings section, click on the all settings tab in the navigation and click on membership settings option.

Membership renewal and grace

There can be many reasons why a member is unable to renew their membership the day it expires, and with expiry the member will lose any established benefits tied to their continuous membership. To avoid this, we recommend allowing for both a renewal window and grace period.

Membership renewal window

A renewal window allows your members to renew before the membership plan expires - combined with lifecycle emails to remind members several weeks in advance, this window can give your members ample time to renew and keep their membership continuous.

Enter the number of days before the expiry date of the membership in which members can renew. For example, if you want to provide a 2 week renewal window, enter 14 days. If left blank or set to 0, members can renew their membership at any time before it expires.

Membership grace period

A grace period allows your members to renew their membership for a set period of days after the plan expires. This will let latecomers renew their membership and keep their existing benefits. Outside of this grace, the member would need to buy a new membership instead, losing any established benefits.

Enter the number of days after the expiry date of the membership in which members can still renew. For example, if you want to provide a 1 week grace period, enter 7 days. If left blank or set to 0, members will not be able to renew after the plan expires.

Membership numbering

Membership plans will be numbered, with each non-continuous plan being assigned a new number. You can change the starting number and how the numbers are chosen and assigned with the options below.

Auto membership number

To disable the automatic assignment of numbers entirely, you can set this to 'no'. This will render the other options obsolete. Please note that this won't remove any numbers already assigned to existing memberships.

Random membership number

By default, sheepCRM will set new membership numbers to increment from the last number - 1001, 1002, 1003, etc - but you can set this to 'yes' to have the numbers completely randomised - 1001, 4241, 7132, 2198, etc.

Initial membership number

If needed, you can change the initial membership number to a specific value. If using the default increment numbering, sheepCRM will use this number as a starting point for future numbers. Useful if you have legacy members and want to have a fresh numbering system for new members through sheepCRM.

Simply enter the first number you want sheepCRM to use and sheepCRM will use this as a starting point.
