Settings: Finance

Find out how to manage your payment plans and service types, as well configure your invoice, gift aid and general finance settings.

Your current finance settings can be found in the sheep settings section. Go to settings.sheepcrm.com and log in to your CRM user account if not already. From the settings section, click on the finance tab in the navigation and you'll be presented with several options in the left-hand navigation: Payment Plans, Service Types, General Finance, Invoices and Gift Aid.

General Finance Options

The default option selected will be the general finance settings. These are used to define your core settings for all financial information including default currency and taxes. These are broken into two panels: Defaults and Tax Settings.

Defaults

As the name suggests, these are used as the default for your organisation flock. Some of these can be changed at a more specific level - the currency used on a ticket, as an example - but the data in this panel will be used everywhere else. This panel contains the following fields:

Default currency

Set the 'standard' currency your organisation deals with. Once set, the default currency will be set throughout sheepCRM and sheepApp, where applicable.

Multi-currency?

If your organisation handles multiple currencies, set this to "Yes" to allow sheepCRM to handle and process different currencies. If your organisation only operates in a single currency, set this to "No".

Financial Year - Day

Enter the numeric number for the day on which your organisation's financial year starts. As an example, if your financial year starts on the 1st, enter 1.

Financial Year - Month

Enter the numeric number for the month on which your organisation's financial year starts. As an example, if your financial year starts in March, enter 3.

Mandate scope

If supporting direct debit mandates, select the types of transactions direct debit mandates can be set up against. Set each of the following to "yes" if they are supported:

  • All Transactions (if set to yes, this overrides all others)

  • Donations

  • Membership

  • Tickets

Tax Settings

You can define your organisation's tax settings in this panel. You can change the following fields:

Disable Tax Rates?

If your organisation is not VAT Registered, set this to "yes" to switch off the various tax options in sheepCRM.

Vat Number

If applicable, enter your VAT number here. This will be used on invoices and other documents that require a VAT number to be present.

Invoice Configuration

The invoice option allows you to set the required information that need to appear on any sheepCRM generated invoices. This provides the contact information and payment details for your organisation that will appear in invoices, so it is vital to keep this up to date and accurate.

The invoice settings panel contains the following fields:

Self-service invoices

Set this to "yes" to make any previous or newly generated invoices available to be dowloaded by your members directly through the sheepApp.

Invoice Email Address

Enter the correct email address for enquiries regarding invoices or payments.

Contact Details

Enter the relevant contact details for your organisation, this is generally the postal address.

Payment details

Enter the details needed for payments to be made for the invoice - this generally includes your bank name, number and sort code.

Payment notes

If you have any additional content or notes you would like at the bottom of your invoices, enter that content here.

Select a visual template from a list to use when creating invoices. For more information on templates, please view this article.

Gift Aid Configuration

Gift Aid is an arrangement that allows charities to reclaim tax on a donation made by a UK taxpayer, which means their donations will be worth 25% more to the organisation at no extra cost to donor. The gift aid option allows you to configure the scope of gift aid on payments within your organisation.

If you do not support gift aid, this can all be set to "no". However, if you do support gift aid in some form, the switches below can help you to define whether sheepCRM should offer gift aid as an option to your members:

  • All Transactions (if set to yes, this overrides all others)

  • Donations

  • Membership

  • Tickets

Payment Plans

Payment plans are used by various sections of sheepCRM and sheepApp and can be accessed from a number of different settings sections. For more information on payment plans, please see our article on managing payment plans from a membership perspective.

Service Types

Service Types are pre-defined fixed cost products or services used to quickly build invoices for your customers. For more information on service types, please see our article on service types.
