Settings: Hireable Assets

Hireable assets are extra items or amenities than can be added to bookings, while being managed separately so you can keep track of them.

Your current hireable assets can be found in the sheep settings section. Go to settings.sheepcrm.com and log in to your CRM user account if not already. From the settings section, click on the spaces tab in the navigation and click on the hireable assets option to view your existing items or amenities.

Adding a new hireable asset

To add a new hireable asset, click on the add hireable asset button located in the top right of the existing assets list. This will bring up a blank sidepanel with the following fields:

Name

Enter a name for the asset.

Photo & Secondary Photos

Upload images to showcase or identify the asset. Ideally, these should be landscape and in JPEG format.

Summary

Provide a brief explaination of the asset, outlining what it is and how it can be used.

Tags

For internal use, mark the asset with tags to help search and identify it more easily.

Asset ID

For internal use, enter a unique ID for this asset. This can be useful if you need to identify specific assets - using the serial ID for a projector, for example.

Calendar colour

If you want to set a specific colour for this asset, select a colour from the available options. Please note that if no colour is selected Sheep will pick a colour at random.

Hireable Asset

Set this to "yes" if you want to allow this asset to be booked out from the Hiring Calendar.

Allow/enforce enquiries

If you would like front-end users to only be able to make reservations for the asset, select "Reservations". If you prefer users to make non-binding enquiries that you can manually approve, select "Enquiries". If you are happy for users to perform either, select "Both".

Disable Clash Detection

By default Sheep will stop you or a front-end user double booking an asset. If this asset can legitimately be double booked or used by more than one user, disable clash detection and Sheep will allow this asset to be double-booked.

Editing an existing hireable asset

From the existing assets list, scroll down to the desired asset and click on the name or the edit icon located to the right of the type to bring up a sidepanel with the current data. For more information on each field, please see the adding a new hireable asset topic above.

Deleting an existing hireable asset

While we advise not to delete existing hireable assets, if the asset is no longer needed it can be set to inactive or deleted. To delete a hireable asset, scroll down to the desired hireable asset and click on it to bring up a sidepanel with fields containing the current data for the asset. Click on the delete option in the bottom right of the sidepanel, confirming the action to completely delete the hireable asset.

Please note that deleting the hireable asset will remove a lot of legacy data with any reservations that included this hireable asset. To avoid this, we advise setting the hireable asset to inactive instead of deleting the asset entirely.
