Contains reports to detail the system usage, notices and download frequency of documents

The usage reports are probably the most boring of all reports but they can be useful. If you build a habit of checking the action required to report you can catch potential problems early.

How do I navigate to sheepCRM Usage Reports?

Go to core.sheepcrm.com and log in to your CRM User account, if not already.

Select Reports tab from the top navigation bar

Select Usage tab from the options below the navigation bar

What is a sheepCRM Usage Report?

This report tracks which elements of the sheepCRM system are being used.

What is a sheepCRM Notices Report?

This report details System Notices including Actions-Required and User Access.

Behind the scenes, sheepCRM is running hundreds of background tasks that synchronise and check your data. These background tasks post notices “Bob opened the ’news’ email”, Susan logged in, and MailChimp pushed 32 changes. If something isn’t quite as you expect it then checking these reports is a good starting point. Notices are tagged as info, error and action required when an issue requires a human to review.

What is an Action Required Summary Report?

The action-required report will list things that may need your attention.

If you like email reports you may want to use an automated action to send the summary to yourself so that you don’t need to remember to check.

What is a Document downloads Report?

This report provides the frequency of downloaded Documents within the sheepCRM.

How do I check for errors with GoCardless Payments?

Select Reports>Usage>sheepCRM Notices.

The columns presented are Date, Notice, Record, System and Catagories.

In the 'System' column it will say gocardless and in the 'Category' column it will say 'Error'.

Select the underlined 'Notice' information to view more information about the details of the error.

How do I set up a Notification to Alert me of a Failed Payment or Mandate?

We recommend you set up automated actions for failed payments from GoCardless, as well as cancelled mandates and failed mandates so you automatically email your members/customers and also set a copy of this action to send to a fixed address to notify yourselves.

Go to Settings> Communications & Flow>Automated Actions.

Search 'failed' and choose from mandate_failed or payment_failed and select desired.

In our example below we have selected mandate_failed.

Trigger - mandate_failed

Action - Select send email to fixed address

Email address - Enter the required email

Template - mandate_failed

Comment - For internal use

Select Save.

Under the Templates tab you can find the default standard templates applicable to payment or mandate failed, of which can be amended by you.

Go to Settings> Communications & Flow>Templates.

Search 'failed' and choose from mandate_failed or payment_failed and select desired to view or amend the content.
