User Permissions Overview - Shipper

Access to Shipwell is easily and effectively managed on a user-by-user basis by a user administrator.

Shipwell allows user administrators the ability to manage a variety of access. This document does an overview of permissions from the perspective of a shipper and managing access of a shipper’s users. This access is managed on a user-by-user basis.

  • Address Book: [Displayed currently but restriction based on permissions coming soon] Address Book permission gives user the ability to create, edit, and delete address book entries. Note your user will always have view Address Book permission by default.

  • Analytics: Analytics permission gives user the ability to view dashboard and generate reports for their assigned accounts.

  • Billing: Billing permission gives user the ability to create payments if connected via one of the Shipwell Marketplace Integrations (NetSuite and QuickBooks). Only clients that leverage NetSuite or QuickBooks should have this activated and then only for users that need to generate bills to carriers.

  • Carrier Relationships:* Allow users to view, create, and remove relationships with carriers.

  • Company: Company permissions give the user the ability to change company settings such as company name and addresses. Note this access needs to be combined with Carrier Relationships, Customer Relationships, or Users. Only users that need to manage core company settings should have this access.

  • Contracts: Add, update, or delete contracts and routing guides within Shipwell.

  • Customer Relationships:* Customer relationship permissions give the user the ability to create, view, and delete relationships with customers.

  • Dock Scheduling Enablements: Provides access for users to be given individual dock scheduling workflow permissions. These permissions include and can be individually activated or deactivated: book appointments, book same day appointments, reschedule appointments, reject appointments, cancel appointments, check in appointments, check out appointments, and update status appointments. Note this is a collapsed permission menu that once expanded provides these individual options.

  • General Dock Scheduling: Provides access to the core management for dock scheduling. This includes individual restriction of the following dock scheduling segments: analytics, appointments, calendar, dashboard, and facilities. Note this is a collapsed permission menu that once expanded provides these individual options.

  • Invoicing: Allow users to setup invoicing, email, view, create, update, and delete invoices. This includes accessing the Settlement capabilities within Shipwell that includes First Pass Match invoice analysis and issue resolution. The ‘Invoicing’ permission also allows for the generation of invoices within one of the Shipwell Marketplace Integrations (NetSuite and QuickBooks).

  • My Shipments: Allow users to only view, update, and/or delete shipments where they are 'Created by' user or a 'Rep'. If users have ‘My Shipments’ ‘View’ access AND ‘Shipments’ ‘View’ access, then the user will see ALL shipments because permissions provide users access to items and in this example the user has ‘Shipments’ ‘View’ access that provides them access to ALL shipments.

  • Orders: Allow users to view, create, update, and delete orders.

  • Override Insurance Limit: Allows users to override the insurance limit check.

  • Quotes: Quote permissions give the user the ability to generate quotes.

  • Shipment Financials: Allows user to view shipment financials on pages including shipment details, shipment dashboard, and new shipment creation. If a user will be able to update financials will be determined if the user has ‘Shipments' ‘Edit’ access along with this ‘Shipment Financials’ ‘View’ access. This access restricts document viewing of financial related document types also (e.g. Rate Confirmation, Invoice, Rendition / Invoice Packet, etc.). Users can still upload financial documents, but they will not be able to view them once uploaded. Note this restriction does NOT restrict financials displayed in the Analytics area of the platform. Accordingly, if users cannot view financials then they should also not have access to 'Analytics’.

  • Shipment Tendering: Allows user to identify if a user can tender freight via: 1) assignment; 2) bid; 3) routing guide; or 4) tender. This user permission is managed via restricting a user’s front end permissions but does not restrict user’s with API access. Further, auto configured routing guides to automatically run on shipment creation will still run if the user that created a shipment does not have Shipment Tendering - Routing user permission.

  • Shipments: Shipment administrators can create, cancel, update, track, and manage shipments. They will be able to create customer communications and send emails with the associated shipment.

  • Third Party App Integrations: Add, manage, or remove 3rd party application integrations with your Shipwell platform.

  • Users:* User permissions give the user the ability to add, edit, and delete users within the company. Note you almost always want your users to have 'Users' - 'View' access since without this your users will not be able to access any filters or actions that require an access to lookup potential users. Note users with this access cannot modify their own access.

* Users with this access privileges also gives access to view, create, and update Address Book entries, Product entries, Service Provider entries, and Document Templates,

In order to add a new user or modify an existing user simply go to 'Manage' -> 'Company' -> 'Users' and either select 'Add User' or select an existing user to determine a user's access.

Disclaimer Notes:

  • Whether this access is available to be managed sometimes depends on if this functionality has been activated for a client. If you do not see a user permission that is listed above contact your Customer Service Representative expressing interest in access to the area not being managed.

  • A user cannot update their own access. If you are a user administrator and need your own access modified, then you need to have another user within your company that is a Shipwell user administrator make this change or you need to contact your Shipwell Customer Service Representative to have this access modified.

  • If you are a carrier within Shipwell you cannot manage your users' permissions at this time and there is a standard setup for carrier-type users.
