Scheduling, Re-scheduling, and Cancelling Appointments

Shipwell's dock scheduling solution allows shippers, suppliers, brokers, and carriers to easily schedule, reschedule, and cancel appointments for loading and unloading freight. This article outlines the steps for both By Appointment and FCFS (First Come, First Served) appointments.

Scheduling a “By-Appointment” Appointment

Depending on the user type and associated permissions, there are several ways to schedule a “By-Appointment” appointment in Shipwell.

Shippers

Workflow: View all appointments needing to be scheduled and work through the scheduling queue

  1. In the Shipwell platform, navigate to Scheduling → Calendar

  2. You will see a calendar view that will allow you to filter day, week as well as load types and facilities

  3. Select the desired facility in the filter

  4. Click on the FCFS or the Unscheduled appointment to view the upcoming appointments for the Day or Week view

  5. Click on or drag and drop the appointment you would like to schedule

  6. Drag and drop the appointment to schedule on the Date/Time you would like to schedule the appointment

  7. If you don’t wish to drag and drop you can click on the shipment id in the side panel which will bring you to the shipment details page

  8. Select a date and time window from the available options

  9. Click Schedule.

  10. Your appointment will show up on the calendar in the Date/Time you selected

Workflow: Schedule an appointment for a specific shipment or purchase order

  1. Click Scheduling → Calendar

  2. Click New Appointment and search for the shipment/purchase order by reference

  3. Click the shipment and then click the schedule button

  4. Select a date and time window from the available options.

  5. Click Schedule.

Workflow: Schedule an appointment not linked to a specific shipment or purchase order

  1. Click Scheduling → Calendar

  2. Click New Appointment

  3. Fill in the modal for New Appointment. Note this will require you to select a load type. Enter the carrier details in order for them to be notified of the appointment.

  4. Select a date and time window from the available options.

  5. Click Schedule.

Workflow: From the shipment details page schedule a shipment

  1. Find the shipment from the Shipment Dashboard or global search

  2. Navigate to the details section of the shipment where you will find the appointment information section

  3. Click Schedule

  4. Select a date and time window from the available options.

  5. Click Schedule. You will see a confirmation that the appointments for the shipment are scheduled.

Carriers

Carriers and 3PLs can schedule appointments for shipments and purchase orders through the Shipwell platform via a secure portal. Here are the steps:

Workflow: View all appointments needing to be scheduled and work through the scheduling queue

  1. Navigate to Appointments

  2. Use the search function to locate the specific shipment or purchase order for which you need to schedule an appointment.

  3. Schedule the Appointment: Click the "Schedule" button associated with the desired shipment/PO.

  4. Select a date and time window from the available options

  5. Click Schedule which will then show you the schedule appointments on the shipment.

Workflow: From the shipment details page schedule a shipment

  1. Find the shipment from the Shipment Dashboard or global search

  2. Navigate to the details section of the shipment where you will find the appointment Information section

  3. Click Schedule

  4. Select a date and time window from the available options.

  5. Click Schedule. You will see a confirmation that the appointments for the shipment are scheduled:

Rescheduling an “By-Appointment” Appointment

  1. Navigate to the Appointments

  2. Select the appointment you want to reschedule.

  3. Click the Reschedule button.

  4. Choose a new date and time window from the available options.

  5. Click Reschedule Appointment.

Note: Rescheduling appointments may be subject to facility availability and approval. Rescheduling will also notify the Shipper and Carrier attached to the shipment or Shipper and Supplier to the Purchase Order.


Cancelling an Appointment

  1. Navigate to the Appointments

  2. Select the appointment you want to cancel.

  3. Click the Cancel Appointment button.

Note: Cancelled appointments will send an email notifying the carrier of cancellation

FCFS Appointments

FCFS appointments do not have a defined start time. Carriers can show up at the facility or dock during operating hours and will be loaded or unloaded on a first-come, first-served basis.

Additional Notes for FCFS Appointments:

  • FCFS appointments are not linked to specific load types.

  • Carriers may need to wait for an available dock.

  • Shipwell's platform provides real-time visibility into wait times for FCFS appointments.
