Carrier Check In/Out and Reject Workflows

This guide provides instructions on how to check in and check out for carrier appointments using the Shipwell platform's dock scheduling module.

Prerequisites:

  • Access to the Shipwell platform.

  • An appointment scheduled and confirmed for the shipment.

Workflow Summary:

Users can perform actions against appointments to update their status. These actions include:

Action

Description

Check In

Marks the truck's arrival at the facility.

Check Out

Indicates the completion of loading/unloading.

Reject

Rejects the appointment if there is an issue with the truck or shipment

Reschedule

Allows rescheduling of a rejected appointment

Cancel

Cancel the appointment (Shipper only).

Important Notes:

  • Check in is required for all appointments.

  • Users can update the dock assignment before checking in.

  • Upload proof of delivery/pick-up or add notes (e.g., seal confirmation, temperature) during check-out.

  • After rejecting an appointment, users can reschedule it and post a message to the shipment.

Workflow Examples:

Check in required at office:

  1. Driver arrives at the facility.

  2. Driver checks in at the designated gate or office.

  3. The appointment status updates to "Arrived."

  4. Truck is inspected (optional).

  5. Driver proceeds to the assigned dock for loading/unloading.

  6. (Optional) Driver uploads proof of delivery/pick-up.

  7. Driver checks out the appointment.

  8. The appointment status updates to "Complete."

  9. Truck departs.

Delay at the dock, no alternative docks:

  1. Driver arrives at the facility.

  2. Driver checks in at the designated gate or office.

    1. The appointment status updates to "Dock in use" if the previous appointment is still occupying the assigned dock.

  3. No other docks are available.

  4. Truck driver waits at the designated holding area.

  5. The dock worker notifies the driver when a dock becomes available (via SMS or push notification).

  6. Driver proceeds to the available dock for loading/unloading.

  7. (Optional) Driver uploads proof of delivery/pick-up.

  8. Driver checks out the appointment.

    1. The appointment status updates to "Complete."

  9. Truck departs.

Delay at the dock, assign a new dock:

  1. Driver arrives at the facility.

  2. Driver checks in at the designated gate or office.

    1. The appointment status updates to "Dock in use" if the previous appointment is still occupying the assigned dock.

  3. The dock worker selects another available dock.

    1. The appointment updates with the new dock number.

  4. The dock worker notifies the driver of the new dock assignment (via SMS or push notification).

  5. Driver proceeds to the new assigned dock for loading/unloading.

  6. (Optional) Driver uploads proof of delivery/pick-up.

  7. Driver checks out the appointment.

    1. The appointment status updates to "Complete."

  8. Truck departs.

Arrived Late:

  1. Driver arrives at the facility after the scheduled appointment time.

  2. Driver checks in at the designated gate or office.

    1. The appointment status updates to "Arrived Late."

  3. Truck is inspected (optional).

  4. Driver proceeds to the assigned dock for loading/unloading.

  5. (Optional) Driver uploads proof of delivery/pick-up.

  6. Driver checks out the appointment.

    1. The appointment status updates to "Complete."

  7. Truck departs.

Rejected appointment:

  1. Driver arrives at the facility.

  2. Driver checks in at the designated gate or office.

    1. The appointment status updates to "Arrived."

  3. Truck is inspected and is subsequently rejected.

    1. The appointment status updates to "Rejected."

  4. Reason for rejection is selected.

  5. Appointment is rescheduled.

  6. Truck driver waits at the designated holding area.

  7. Driver proceeds to the assigned dock for the rescheduled appointment.

  8. Driver checks in the rescheduled appointment.

    1. The appointment status updates to "Arrived."

  9. Shipment is loaded/unloaded.

  10. (Optional) Driver uploads proof of delivery/pick-up.

  11. Driver checks out the rescheduled appointment.

    1. The appointment status updates to "Complete."

  12. Truck departs.

How to Check In/Out or Reject

There are multiple ways to nation o

  1. Navigate to Scheduling β†’ Calendar

  2. Find the appointment via Search or click on the appointment. This will open the side panel.

  3. Click Check In or Reject based on the workflow

  4. If Check In this will reveal the Check In time

  5. Click Save. This will save the Check In time.

  6. Click Check Out. This will record the checkout time

  7. If Rejecting the appointment click reject and select a reason to put in a note field on the rejection reason

    Note that a rejection will require scheduling a new appointment. You can do this via the appointment, shipment details, or mobile app.
