Create an Irrigation or Turf Care proposal step by step, with recommended job-naming practices for recurring services.

Create an Irrigation or Turf Care Proposal

  1. Add Details: Customer, Job Name, Operation, Visit Location

    💡The Job Name will carry over when renewing recurring services. We recommend keeping the Job Name generic by using the default options of Client/Company Name or Billing/Visit Location. We do not recommend including the year.​

  2. Add Location
    Enter address in Visit Location field, address options will populate to select.

    💡If visit address is the same as the billing address, select 'Use Billable Location' to fill in address.

  3. Is this a one-off job or recurring?
    Select Recurring

  4. Add Start Date & End Date
    This will determine when the visit and invoice schedules start and end. Typically this will match your season.

    Example: We offer services across a full calendar year, so my Start date is January 1 and my end date is December 31.​

  5. Do you invoice every visit or on a fixed schedule?
    Select Per Visit for customers who are invoiced after each completed visit.

    Select Fixed Invoicing if the customer is billed a set amount on a set schedule, regardless of the work completed at each visit. See One-Off Job & Recurring Job for more on the difference

  6. Visit Frequency
    ​​Select Custom and add visit schedule

    Example: Custom, visits generated based on the number entered per month
    ​E.g. “1” is entered under June, July and August. Three visits generated for crews.

    Note: If the work varies by visit (for example, irrigation start up in the spring and winterization in the fall, or different turf rounds at different times of year), select Specify Items for each Visit. Then use the occurrences dropdown to assign each item or item group to the right visit. If irrigation or turf care needs to be scheduled separately from recurring maintenance or other services, set it up as its own job. You can combine the jobs in a Proposal Group if needed.

  7. Estimate
    ​​Select +Add Item or +Add Item Group to add services (irrigation start up, irrigation monitoring, irrigation winterization), materials, labor etc. Item Groups work well for recurring turf care rounds. For programs that need chemical tracking, set up each Item Group with the service performed, the applicator labor, and the materials used.

  8. Go to Map & Notes
    Add Map pins, Property Measurements & Notes for customers and team.
    (Optional) Select Recalculate Quantities if using production rates. For turf care, measurements and production rates can calculate chemical quantities based on square footage. See Fertilization/ IPM/ Turf Care Best Practices to set up a job level Square Feet custom input.

  9. Additional Options
    Add Discounts or Prepay

  10. Select Save & Close

Actual

Items/item groups marked 'Actual' will be visible to crews on work orders. Only costs (what a service costs your business) will be available.

Billable

Items/item groups marked 'Billable' will be visible to customers on proposals and invoices. Only prices (what you charge a customer) will be available.
