How to setup Client and Asset Category Rates

New field on the Asset Category record in Syrinx Integration screen

If this field is blank then the Default ‘Per’ from the Preferences > Quotations screen is used during Quotation preparation.

The number, if present, at the end of the asset category name is the count of “current” rates against the category.

This pane replaces the Asset Categories list when you click on an asset category.

A current rate is defined as the latest rate up to and including today’s date.

An old rate is defined as one where there is a later date between that rate’s date and today’s date.

A future date is defined as one where its date is later than today’s date.

Note that you can only have one rate for a specific “Per” for a specified date against a specific asset category.

Behaviour during Quotation preparation

Rates, if present, are defaulted onto the quotation screen in both the Requirements and Attachments sections.

If the related asset category has a non-blank Default ‘Per’ then the drop down will be set to that value (instead as the Default ‘Per’ held in Preferences > Quotations).

When you exit the Code field, the following logic applies:

· If an Asset code is entered

i. Using the derived Default ‘Per’ the system looks for a current rate for the Asset/Per combination against the client and, if present, defaults that value into the rate column.

ii. If no asset/client specific rate is found then, again using the derived Default ‘Per’, the system looks for a current rate for the asset’s Asset Category against the client and, if present, defaults that value into the rate column.

iii. If no rate is found above then the system looks for a current rate (still using the Default ‘Per’) against the Asset Category as maintained in the Syrinx Integration > Asset Categories pane

· If an Asset Category code is entered

iv. Using the derived Default ‘Per’ the system looks for a current rate for the Asset Category/Per combination against the client and, if present, defaults that value into the rate column.

v. If no rate is found above then the system looks for a current rate (still using the Default ‘Per’) against the Asset Category as maintained in the Syrinx Integration > Asset Categories pane

Note: Normally the client will have been entered at the top of the quotation. If, for some reason, the user goes straight down to the Requirements and Attachments sections and enters a Code then the following warning is displayed on the screen: “WARNING: You haven't entered the client yet”. The system will still attempt to default rates onto the quotation but clearly it cannot look for any client-specific rates.

Current Limitation: If during quotation entry you change the client the system will ultimately “re-price” the quotation according to the rates held against the revised client. This currently does not happen.
