Introduction

The License Plate Lookup feature helps both Shippers and Carriers verify whether vehicles are available for allocation and ready for tracking once transport begins.

This feature supports proactive planning and post-transport investigation by showing whether each license plate is recognized, active, or inactive in your network.

It’s especially useful for:

  • Before transport: Checking vehicle availability before assigning transports.

  • After transport: Investigating untracked transports and identifying the cause.

🌟 Why Use License Plate Lookup?

  • Confirm Availability: Check up to 1,000 license plates at once to see which vehicles are ready for allocation.

  • Prevent Tracking Gaps: Identify Unknown or Inactive vehicles before allocation.

  • Speed Up Investigations: Quickly diagnose the root cause of untracked transports.

  • Transparent Access: Both Shippers and Carriers see identical lookup results for consistent collaboration.

  • Export Data: Download lookup results for reporting, audits, or compliance reviews.

  • Company-Specific View: The lookup operates from your company’s perspective.


🧭 How to Perform a Lookup

Follow these simple steps to perform your batch search:

  1. Go to the Visibility Control Center.

  2. Click the “License Plate Lookup” tab.

  3. Enter license plates: Input the license plates in the text field, separated by commas, semicolons, or line breaks.

  4. Click “Look up.” The system will search and display the matched vehicles in the results table.

  5. Refine results (optional): Use the search box to filter results by typing a keyword or phrase — the table updates automatically.

  6. Download results: Click the Download button to export your lookup results as a file for further analysis or documentation.

🧾 Viewing Lookup Results

After you click “Look up,” your results will appear in a table.

Example: Lookup results showing matched vehicles, last signal, and time-based status.


Each row provides key details:

Description

Key Statuses

Input

The license plate number you entered.

Unknown: The plate is not recognized by the platform.

Matched assets

Vehicles found in the system that match the input (exact or close).

Active: The plate is known in your network, and has sent a tracking signal within the last 96 hours.

Last signal

The most recent tracking update received from the vehicle.

Inactive: Known, but no signal received in the last 96 hours.

Time-based status

Displays whether the vehicle is Active (recent signal) or Inactive (no signal for 96+ hours).

💡 Tip: If multiple vehicles are shown for the same input, review the Matched vehicles column to confirm the intended one before allocation.

ℹ️ Note:

A * next to a license plate means the vehicle is known in the platform but belongs outside your company’s immediate network.

It may only be available for allocation in a specific transport context — for example, when linked to certain carriers, shippers, or contractual relationships.

Both Shippers and Carriers can see this indicator. When you hover over the asterisk, a tooltip displays:
“This vehicle may be available for allocation only in a specific transport context.”

Once you’ve reviewed your lookup results, use the table below to determine the right next steps.
These actions apply to both Shippers and Carriers, before or after allocation.

✅ Vehicle is ready for tracking and allocation. If tracking still fails later, review transport data or timing (allocation may have been too late).

Known & Inactive

Vehicle owner / Carrier

🔧 Check the tracking device or integration. Make sure the vehicle is sending updates before allocation.

Unknown

Carrier or Subcontractor

🧭 Onboard the vehicle to the platform. If it belongs to a subcontractor, send them an invite to join the network if not already onboard

Known with * indicator

Shipper and Carrier

⚙️ Confirm that the vehicle is available in your specific transport context (some may be visible but not allocatable depending on contracts or relationships).

💡 Tip: Run lookups regularly to identify vehicles that are inactive or outside your network.
Early action improves allocation readiness and tracking performance.
