Shared Views: Simplified and Secure Data Sharing for Your Customers

Shared Views (formerly known as Customer Portal) allow you to provide your customers with real-time visibility into their shipments.

By creating a customized view, you choose exactly which data to share, ensuring transparency while maintaining control over who has access to your data.

How to Create a Shared View

Follow these steps to build and share your first view:

  1. Navigate to Shared Views and click the Add shared view button.
    Make sure you have an Admin rights. Only Admin users can create Shared Views.​

  2. Define Transport Criteria:

    • Shared View Name: Enter a name that is clear and professional. Note that this name will be visible to your customers (coming soon).

    • Tracking Status: Select the relevant statuses you want to include, such as Tracking or Completed.

    • Add Filters: Use filters like Custom Fields or Stop Name to narrow down the specific transports for that client.

  3. Generate Shareable Links:

    • In the Shareable links section, enter a label for your recipient (e.g., "Kris - Customer Office").

    • You can create multiple unique links for the same view to track access for different stakeholders.

  4. Activate & Save:

    • Set the status to Active to make the link accessible.

    • Review and check the Consent box to agree to the data sharing terms.

    • Click Save. Your links are now live.

    • Simply Copy your generated link and send it via email, chat, or your preferred communication tool.

Managing Your Shared Views

The Shared Views list view provides a bird's-eye view of all your active portals.

At a glance, see how many links are active for each view and what criteria are being applied.

Jump to quick actions under the three dots (...) next to any view to:

  • Get shareable link: Quickly copy the URL to your clipboard or open it in your browser to view exactly what your customer sees.

  • Open in Transports view: View the same transport as your customer sees, in your own Visibility view.

  • Edit: Modify filters, change names, or add new links.

    • Hint: click on the shared view card to open it in edit view

How to Share it with your Customers

We offer two ways to share your view: via secure, authorized access or through a publicly shareable link.

To share a view with an authenticated user via email, follow these steps:

  1. Access Shared View Settings: Open and set up the desired shared view.

  2. Locate Access Section: Navigate to the new "Access to the Shared View" section.

  3. Enter Email: Add the email address of the user you wish to authorize.

  4. Grant Consent: Click the checkbox to agree to enable access to the view.

  5. Save and Invite: Click "Save" to grant access and automatic invitation will be sent to a newly added recipient.

  6. Monitor Status: You can track the invitation status in the list, which will show labels such as "Sent" (with expiration date) or "Joined" (with acceptance date) or "Expired" (with expiration date).

How Authorized Recipients Access a Shared View

First-Time Access

  1. Receive the Invitation: The recipient receives an email (with your name and company mentioned in the content) inviting them to access a shared view of your orders.

  2. Confirm and Proceed: The recipient clicks the link in the email to navigate to the transport visibility platform.

  3. Accept Confidentiality: On their first visit, they must accept a legal consent form regarding data confidentiality.

  4. Access the Data: Once consent is granted, they are immediately redirected to the shared transport data.

Returning Logins

  • Password less Sign-In: To log back in later, users can visit the login page (indicated in the original invitation). They just need to select Login to a Shared View and enter their authorized email address.

  • Secure Verification: A secure verification link will be sent to their inbox. For security, this link expires after 10 minutes.

  • Extended Sessions: Users can bookmark the page for quick access. The session will remain active for up to 30 days after each login before requiring a re-login.

Managing Multiple Views

  • Switching Views: If multiple views are shared with the same email address, the user can easily switch between them under Account Actions in the user interface.

  • Transporeon Users: Existing Transporeon users can seamlessly switch between the shared view and their standard company context within the same section.




To share a view using a public link, follow these steps:

  1. Open the View: Navigate to and configure the specific view you want to share.

  2. Go to Access Settings: Locate the "Access to the Shared View" section.

  3. Create a Link: Click "Add link" under the "Publicly shareable links" section.

  4. Name the Link: Give your link a descriptive name based on its intended audience (e.g., Customers, Account Managers, or Customer Care).

    Tip: You can create multiple links for the same view. This allows you to track and manage access control individually for different use cases.

  5. Grant Consent: Check the box to confirm and enable public access to the view.

  6. Save Changes: Click "Save" to finalize your setup.

  7. Copy and Share: Copy the generated link and share it with your audience.

What View Recipient Sees

When a customer clicks the shareable link, they are taken to a dedicated Shared View Portal. Here, they can:

  • View a list of shipments you granted them permission to view.

  • Check the real-time ETA and status updates (e.g., "On time" or "Delayed").

  • Monitor transports on a map view.

  • Click individual shipments to see map tracking, stop details, and other relevant details.

  • The View will display all stops that are part of the shipment.

Custom Branding: Make It Yours

Give your customers an indication that it's your branded portal by applying your company's logo.

To set up your branding:

Go to the Account actions, select Settings in Company profile upload the logo, and click Save changes

Important Notes:

  • One logo can be added per shipper account. At least for now. In close future, it will be possible to distinguish between different brands or sales organizations - we are working on that.

  • Logo Preferred Format: For best results, use a PNG or JPG file (max 1MB) with a recommended height of 64px.

❓Frequently Asked Questions


How long is a sharing link active?

The link remains active for as long as you need it. You have total control over its lifecycle:

  • To deactivate: Navigate to your Shared View list view and either delete the specific shared link or set the entire view to Inactive.

  • Permanent removal: You can also delete the Shared View permanently (in edit mode).

  • Recipient Experience: If a user clicks a deactivated link, they will see a clear notification that the link is no longer active.
