Notifications enable you to bring attention to various issues so you can take appropriate action at the right time. You can do this in reference to both multiple transports defined by a set of conditions of your choice as well as to a specific transport of your particular interest.
In the Visibility application, a dedicated section named "Notification rules" enables you to keep an eye on the details of created notification rules across multiple transports incl. who is getting notified at what time.
How it works
It’s all up to you - you define the transport and tracking conditions that have to be met. As soon as the conditions are met an e-mail notification is sent. Please note that no further notifications for the specific set of conditions will be sent unless a specific transport meets the conditions again.
Example: if you want to trigger a notification when the estimated delay time is bigger than 15 minutes, the notification will be sent as soon as this condition is met. If the next ETA update changes the estimation to e.g. 20 minutes delay - no further notification will be sent. But if the next ETA update indicates e.g. 10 minutes delay - and with another ETA update the estimated delay gets again bigger than 15 minutes - the notification e-mail will be triggered as now the transport meets the defined conditions again.
Please note that notifications will not trigger for transports that are already matching the notification conditions at the time of creation of the notification rule.
Notification recipients
For all available notification types the transport-level notification recipients can be provided.
For some of the notification types Transporeon Visibility allows to directly notify the stop contacts specified in the transport data. Notification email sent to stop contacts does not expose any information related to other stops of the specific transport. Please keep in mind that you are responsible for ensuring confidentiality when sharing the access.
Currently, notifying stop contacts is available for the following notification types:
Transport mode “Road transports”
When transport is delayed
When transport is approaching
When goods have been picked up or delivered
Customizing notification subject lines
You can customize the subject line of notification emails and SMS messages so recipients can understand the message at a glance — without opening the email. This is useful when you want to include specific identifiers (for example transport number, delivery number, or customer name) in the subject.
How to customize a subject line
Go to Notification rules and create or edit a rule.
Select a supported notification type and define your filters.
In the Recipients section, find the Subject line field below the recipient list.
Click Edit (pencil icon) to open the subject line editor.
Choose one of the following:
Use the default subject line — this option allows you to easily go back to default subject line in case you don't want to use your added text.
Enter a custom subject line — type your own text and insert variables using the Add variable dropdown. The subject is sent exactly as entered and is not translated.
Click Confirm to save your changes, then save the notification rule.
If you customize the subject line, a note “This subject line has been customized.” is shown in the rule form.

When entering a custom subject line, you can insert variables that are replaced with live transport data when the notification is sent. Use the Add variable dropdown to insert them.
Transport identifiers
Transport # — the transport number
License plate — the vehicle license plate assigned to the transport
Bill of lading — the bill of lading number
Stop identifiers
Delivery # — delivery number at the relevant stop
Order # — order number at the relevant stop
PO # — purchase order number at the relevant stop
Locations
Stop name — the company name at the stop location. If multiple stops are involved, the first name is shown followed by a count (for example Berlin Beverages (+2)).
Parties
Carrier — the carrier company involved in the transport execution (the carrier company that you see as assigned carrier in the transport, if more carriers are involved in transport execution due to subcontracting, their names will not be exposed)
Customer — the customer company involved in the transport execution (the name you see as the shipper or main carrier, never the initial customer the transport belongs to, if transport is subcontracted).
{Your company name} (You) — the company that created the notification rule
If a variable has no value at the time the notification is sent, it is replaced with a dash (-). If multiple values exist for a single variable (for example several delivery numbers), the first value is shown followed by a count (for example DEL-123 (+2)).
Rules and limits
When using a custom subject line:
You must include at least one variable and some free text alongside it.
Free text is limited to 80 characters (variables are not counted toward this limit).
You can use a maximum of 3 variables per subject line.
Each variable can only be used once.
The total subject line (after variables are resolved) cannot exceed 150 characters. If it would be longer, variable values are shortened automatically to fit.
Custom subject lines are not translated — they are sent exactly as you enter them, regardless of the recipient’s language setting.
Few other things to know
Subject line customization is currently only available for:
Custom filter notification (Custom filters) — transport-level recipients only
When transport is delayed — transport-level and stop-level recipients
When tracking did not start — transport-level recipients only
Other notification types (for example “When goods have been picked up or delivered”) will follow soon - we are working on it.

Define transport filters
Select transportation mode (applies only if your company uses Ocean or Air Visibility; if this it not the case the default transportation mode is “Road”)
Select notification type
Fill in possible mandatory fields (depending on the chosen notification type)
Optionally add further filters
Provide notification recipients (e-mail addresses) and e-mail language
For some of the notification types Transporeon Visibility allows to notify the stop contacts specified in the transport data. To use this functionality, tick the checkbox “Send a notification email to stop contacts” in the section “Recipients of stop-level notifications”.
Optionally, customize the Subject line for supported notification types. See Customizing notification subject above.

Notification e-mail content
E-mail content is tailored to the selected notification type and contains adequate information without having to open the corresponding transport details. But of course, these details are easily accessible as the e-mail contains the publicly accessible link (no authorization required) to the respective transport or the respective stop (in case of notifications sent to stop contacts). This allows the e-mail notifications to be sent directly to recipients outside of your company.
