Notifications enable you to bring attention to various issues so you can take appropriate action at the right time. You can do this in reference to both multiple transports defined by a set of conditions of your choice as well as to a specific transport of your particular interest.

The Transporeon Visibility Hub notifications feature makes it easier to spot exceptions and automatically communicate them to recipients of your choice (in the language of your choice), improving the efficiency in your daily operations.

In the Visibility Hub application, a new dedicated section named "Notification rules" enables you to keep an eye on the details of created notification rules across multiple transports incl. who is getting notified at what time.

How it works

It’s all up to you - you define the transport and tracking conditions that have to be met. As soon as the conditions are met an e-mail notification is sent. Please note that no further notifications for the specific set of conditions will be sent unless a specific transport meets the conditions again.

Example: if you want to trigger a notification when the estimated delay time is bigger than 15 minutes, the notification will be sent as soon as this condition is met. If the next ETA update changes the estimation to e.g. 20 minutes delay - no further notification will be sent. But if the next ETA update indicates e.g. 10 minutes delay - and with another ETA update the estimated delay gets again bigger than 15 minutes - the notification e-mail will be triggered as now the transport meets the defined conditions again.

Please note that notifications will not trigger for transports that are already matching the notification conditions at the time of creation of the notification rule.

Notifications across multiple transports

Manage exceptions for a set of transports specified by the conditions of your choice. Get notified in real-time or let us notify the adequate recipients directly.

Currently, the available notification types are the following:

  • Transport mode “Road transports”

    • Custom filter notification (Custom filters)

    • When warnings occur

    • When tracking is cancelled

    • When transport is delayed

  • Transport mode “Ocean transports”:

    • Custom filter notification (Custom filters)

How to create a new notification rule

  1. Go to the "Notification rules" section in the side menu

  2. Click on "Add notification rule" button in the right upper corner

  3. Define transport filters

    • Select transportation mode (applies only if your company uses Ocean or Air Visibility; if this it not the case the default transportation mode is “Road”)

    • Select notification type

    • Fill in possible mandatory fields (depending on the chosen notification type)

    • Optionally add further filters

  4. Provide notification recipients (e-mail addresses) and e-mail language

  5. Provide rule name

  6. Click on "Save"

How to edit an existing notification rule

  1. Go to the "Notification rules" section in the side menu

  2. Select the notification rule you’d like to edit. Please note that you’ll be able to edit only notifications rules created by you (exception: Admin users can edit any notification rule)

  3. Edit the notification setup

  4. Click on "Save"

How to delete an existing notification rule

  1. Go to the "Notification rules" section in the side menu

  2. Select the notification rule you’d like to delete. Please note that you’ll be able to delete only notifications rules created by you (exception: Admin users can delete any notification rule)

  3. Click on "Delete" button

  4. Confirm the deletion

How to manage notifications across multiple transports

Please find below a few examples of how you can setup specific notification rules in order to trigger notifications according to your business needs:

Notification for untracked transports that are planned to start soon

If you’d like to proactively monitor your road transports that are planned to start soon but have not yet received tracking data, you can combine the filters "Tracking status" (by setting its value to “Untracked”) and "Start time" (by setting the time period selection value to e.g. “Today”). E-mail notification will be triggered in reference to all transports that fulfill both criteria.

Notification for transports assigned to a specific user

If you want to receive specific notifications for transports of your particular interest, you can use the "User" filter by setting its value to yourself. What you’d then need to do is just add yourself as the user for the respective transports (see Add Users to Transports feature) and get notified just in time.

Notifications per specific transport

Notifications per specific transport are currently available for road transports only.

A specific transport is of particular interest to you? Stay up to date with what’s going on by configuring notifications for this specific transport only.

Currently, the available notification types are the following:

  • When warnings occur

  • When tracking is cancelled

  • When transport is delayed

How to create a new notification rule

  1. Open the detail view of the transport of your particular interest

  2. Click on the “Notifications” button

  3. If there is no notification rule configured yet for this transport, you’ll be asked to select the notification type. In case further notification rules exist already, click on the “Add notification rule” button and specify the notification type.

  4. Specify further notification type details

  5. Specify recipients (e-mail addresses) and e-mail language

  6. Click on “Save”

How to edit an existing notification rule

  1. Open the detail view of the transport of your particular interest

  2. Click on the “Notifications” button

  3. Select the notification rule you’d like to edit. Please note that you’ll be able to edit only notifications rules created by you (exception: Admin users can edit any notification rule)

  4. Edit the notification setup: notification trigger and its further details, recipients.

  5. Click on “Save”

How to delete an existing notification rule

  2. Click on the “Notifications” button

  3. Select the notification rule you’d like to delete. Please note that you’ll be able to delete only notifications rules created by you (exception: Admin users can delete any notification rule)

Notification e-mail content

E-mail content is tailored to the selected notification type and contains adequate information without having to open the corresponding transport details. But of course, these details are easily accessible as the e-mail contains the publicly accessible link (no authorization required) to the respective transport. This allows the e-mail notifications to be sent directly to recipients outside of your company.

E-mail content for notification rule built with “Custom filters" only

  • Transport number

  • Carrier name (if the notification is set up by a shipper user)

  • Shipper name (if the notification is set up by a carrier user)

  • Notification rule name

  • Publicly accessible link

In addition, following information is available depending on transportation mode:

  • Ocean:

    • Container no.

    • Booking no.

    • Bill of lading no.

    • Ocean carrier (SCAC and name)

  • Air:

    • Booking no.

    • Air waybill no.

    • Air carrier (SCAC and name)
