With SMS Quick Replies, you can easily save time while responding to clients. Instead of typing out common questions or phrases manually, you can use pre-written responses to streamline your workflow and consistently provide efficient and effective communication.
This guide will show you how to set up and send Quick Replies to improve your messaging efficiency. From creating custom replies to using SKEDâs templates, you'll be ready to respond faster than ever.
Create Quick Replies Templates
Click the Settings button, then click SMS Quick Replies under the Tools section to navigate to the Quick Replies home screen.
Get Started with SKED Templates
To get a jump start and import a few pre-made templates, click the âuse our templatesâ button. The templates will be added and can be edited by your office to meet your specific needs.
The templates that will be added are:
Hey {{client.firstName}} your next appointment is at {{appt.time}} on {{appt.date}}.

Note: You'll lose access to these templates if you create a new quick reply from scratch first.
Create Templates from Scratch
To add a new template, click the add icon in the top right corner:
Once the Quick Replies editor is open, add a Name and Message for the new template, then click Save. The name helps you identify different replies, but patients do not see the name, just the message.
Tip: You can click the placeholder icon to to customize the quick reply with the patient's name, appointment information, or office information.
Sending Quick Reply Messages
To send a quick reply to a patient, simply click the Quick Reply icon
in the conversation box within the SMS Inbox or Client Modal. This will open up your list of quick replies, allowing you to respond without typing out the entire message.
Tip: When clicking the Quick Reply icon, the most frequently used templates appear first. If the one you need isnât listed, use the search box to type in the keywords.
Send Template As-Is
If youâre ready to send the message immediately without any text edits, just click the blue paper plane icon to send it instantly.
Edit/Add Text Before Sending
If youâd like to edit the content of the quick reply or add more details before sending, simply click on the template title, make your desired changes, and then click the Send button. In the example below, the office used the âThank you for letting us know!â template but then assured the client the doctor would be notified.
Note: If this is the first time the Quick Reply icon is clicked, it will prompt you to either try SKEDâs premade template or click the link to make your own. You'll lose access to these templates if you decide to make your own first.
Template Alerts
Templates will show a caution sign icon next to them if one or more placeholders do not have data to pull. For example, if a template has an appointment time or date placeholder but the client has no future appointments, it cannot pull in the data and will not insert the placeholder.
Editing Quick Reply Templates
Templates can be easily edited at any time by clicking on the title on the SMS Quick Replies homepage under the Settings menu or clicking Edit on the pop-up preview when in the conversation modal.
Once the Quick Reply editor is opened and the appropriate changes are made, click Save.
Tip: Below the message editor box, a preview of the message as it will appear to the client is displayed.

Quick Reply templates can be easily sorted by clicking the Sort icon near the page's title.
Search Templates
To search for a specific template, use the magnifying glass icon to open the search box:
Delete Quick Reply Templates
To delete a template, click the title on the SMS Quick Replies homepage and click the red delete button in the top right corner.
A pop-up will show, asking you to confirm that you want the template deleted. If youâre sure, click Delete.
FAQs
Why didnât the placeholder populate information?
The most common reason placeholders do not populate information is because there isnât data to pull. For example, the appointment date and time cannot populate properly if a patient does not have a future scheduled appointment.
I did not get the SKED templates, but now want them. How can I get those?
They will need to be added manually. You can use the templates listed above.
Can I send form links through Quick Replies?
Not at this time, but our development team is looking into it as a future enhancement.
Can I add something to the template before sending it?
Yes! Click on the template title (not the blue paper airplane icon), and then you can add or edit the text as youâd like!
Can I add two templates to one message?
No. If another template is selected, it will overwrite any text in the composition box. We recommend sending the first one and then using the other template.
