Composing Messages (SMS/MMS, Email, Push)

Introduction

You can choose to make a message send through any combination of SKED’s delivery methods (SMS, Email, Push/App notifications). If you're sending a One-Time Message, click One-Time Message in the blue navigation bar otherwise you can click on Automated Messages then click the message type you'd like.

  • You must have all applicable fields (Message subject, Message body for a delivery method filled out before it will highlight blue

  • The message body for each delivery method can be unique! Most offices just copy paste the same message body for all delivery options.

  • Each reminder method has its own features/ Limitations. They will be detailed in the following sections.

  • Character Limit of 160

    • Using emojis reduces character limit by around half

Verify Credit Usage

Under the SMS/MMS message drafting area, you will see the number of credits it will take to deliver the message to one recipient. If there is only one recipient, it will only take the number of credits listed. If the audience is selected by the appointment type and date range, the number of recipients in that time frame will be multiplied by the credit amount.

  • Note: Adding Emojis lessens the number of characters allowed for 1 credit from 160 to 70 characters.

  • Tip: If a message exceeds 10 credits (and has nothing attached to make it an MMS), it will automatically change it to an MMS and only cost 3 credits. Therefore, if a message is 4 credits or more, it may be worth adding a GIF/attachment or more emojis/content to make it 11 credits, so it will change to 3 per recipient.

Constraints

  • Attachments cannot exceed 10 MB

When you are writing an email reminder, be sure to create a subject line before the message body.

Insert Placeholders

Placeholders are a SKED feature that allow offices to quickly insert important information into any message body. Simply click the placeholder icon {x} below the composition box, then select the information you’d like to insert wherever your text cursor is located. When the message is sent to the patient, the data will automatically populate or the appropriate link will be generated. This saves time, eliminates the need to manually type repetitive details, and helps ensure accurate, stress-free communication.

To make life easier for offices, we have created placeholders for various categories:

  • Client

  • Business

  • Locations

  • Appointment Data

  • Forms

Placeholders have 3 primary functions: personalizing messages, sending a registration link for the SKED App, and sending Intake Forms.

Note: One-time messages do not support appointment date & time placeholders because there is no way to know the appointment for which the message is being used.

SKED Registration Placeholder

The SKED Registration placeholder can be inserted into any message. When the recipient receives it, it becomes a unique URL specifically for that client so SKED knows exactly who they are. They need to have the app installed, but if they have that and click on the link, all they will need to do is select the registration method they would like to use to sign in going forward.

Note: If a client has already registered for the app, the link becomes a URL that opens the app!

**Please keep in mind that this registration link expires after 3 days! If a patient’s link is not working correctly, go ahead and resend them the link from your One-Time Messages tab. **

SKED Forms Placeholders

Forms are sent to patients using One-Time Messages and a specific placeholder for the form the office wants to send. Once inserted into the message body, the placeholder becomes a unique URL the client can click on to begin the electronic paperwork.

  • Sending an IntakeForm:

    • 1. To send your form to a patient, go to the One Time Messages tab and select Compose.

    • 2. Fill out the required information, and when you come to the message composer section, use the Form Placeholders to insert the form link into the message.

    • 3. Select send after you've completed creating your message.

Tip: You can also send forms via Reminders and Rapid messages as well.

  • Tip: We advise offices to create templates for each form to easily send it to patients.

  • Tip: Separate templates for each category are helpful to ensure clients fill out the correct one. For example, have individual templates for Adult, Prenatal, Medicare, Pediatric, Personal Injury, etc.
