User overview

Manage all your organizations users of Smart Arena in one place

The User Overview feature in Smart Arena is essential for administrators to efficiently manage their organization's users in one centralized location. It allows for adding users individually or through bulk import, simplifying the onboarding process for larger teams.

Administrators can organize users into groups, assign roles, and monitor key details such as last login and registration status. Additionally, tools like sending messages, deleting users, or resending registration emails streamline communication and account management. This functionality ensures that user data is organized, up-to-date, and easily accessible, contributing to a smooth and scalable e-learning experience. In the User Overview tab, administrators can manage users in their organization.

Users can be added individually or by importing groups using bulk import (see bulk user import). To add an individual user, click on the Add User tab in the main navigation menu, which opens a form for entering user details (see add a new user).

Located at the top of the list, administrators have the following options:

  • Delete User: Removes selected users from the system.

  • Send Message: Sends a direct message to selected users.

  • Registration Email: Resends the registration email to selected users who may not have completed their onboarding.

The User Management section displays a list of users and provides navigation and action options for managing them.

Navigation and Filtering

Search bar: Located at the top, it allows administrators to search for users by name, email, or other relevant fields.

Advanced filtering options: A clickable option below the search bar that enables administrators to apply specific filters to narrow down user lists. Options include filtering by assigned organizational unit, location or group.

User List

The list displays the following columns:

Information

Name Surname

The user's full name is displayed as a clickable link leading to the user's detailed profile. See Basic user view.

Email

The user's registered email address.

Organizational unit

Indicates the unit the user is associated with (if applicable). See Organizational units.

Location

Displays the user's assigned location. See Locations.

Workplace

Shows the workplace assignment for the user. See Workplace.

Last Login

The date the user last logged into the system.

User Created

The date the user was added or invited to the system.

Actions

Includes options such as viewing Details (user information page) or managing specific actions for the user.

  • N/A - the user has not logged in OR "not assigned" in the location, workplace and org. unit columns.

  • User invited - the user has not completed the registration.

  • Details - the user has completed the registration and logged in.
