Checking In Students

Overview

Proctors are responsible for checking in students to a virtual testing session to ensure a secure, compliant, and smooth testing experience.

In this article, you will learn how to:

  • Check-In a student

  • Send a student back to a step in onboarding

How to Check In a Student

When a student has completed onboarding and is ready to be checked in by a proctor you will hear a sound and see a red alert bubble on the toolbar. Follow the steps below to check in a student and prepare them to begin their exam.

Note: Check-In scripts can vary by school. Your script may vary from the example you see below, but once you are actively in the check-in process you can follow the prompts to ensure the student is checked in correctly.

  1. Click the Waiting icon to see which students are ready to be checked in. Note: There will be a red alert bubble showing how many students are currently waiting.

  2. Select the gear icon next to a student name and click Start Check-In.

  3. Review the Check-In message, then click Start Check-In.

    1. Once you click Start Check In, the student is notified that they are now connected to you.

  4. Follow the prompts in the check-in script to guide the student through onboarding.

    1. To communicate with the student via a voice call, click the microphone icon. The icon will turn green when the call it is active.

    2. If the reviewing a student's ID or headshot is part of the check-in script, refer to the identification tab to review the images the student captured during onboarding.

      1. If the ID or headshot image is unacceptable, you can send the student back to Headshot and/or ID steps using the Send to Step button. More information on this feature is listed below.

    3. If reviewing the list of permitted items is part of the check-in script access them by clicking on the Session Info tab.

  5. When all steps are complete, click Approve. Then click Yes to confirm.

    1. The student receives confirmation that they are approved and will be redirected to the exam when they click Go To Exam.

  6. It is recommended that you stay with the student until you have confirmation that the student has sucessfully accessed the exam and they no longer require assistance. The voice call will remain active after check-in approval but when you are ready to end the call, click the microphone icon, or click the zoom icon to exit focus mode. This will return you to the overview where you check in another student (if any are waiting) or proctor the active students in the room.

Send to Step

Proctors can send students back to a step within Onboarding during the check-in process.

If during the Check-in process you need to send a student back to a specific onboarding step, click the Send to Step button.

Once you click Send to Step a menu will appear for you to select which step(s) of onboarding you want to send the student to and whether or not you want to stay connected while the student takes action.

Stay Connected - You will remain connected to this session and can continue monitoring and communicating with the student as they complete the steps you've sent them back to.

Disconnect - This will disconnect you from the session, allowing you to work with other students. The sent back student's session will not end - when the student completes the steps, they will be placed back in the waiting queue for the next available proctor.
