Learn how to synchronize your shifts to your Google Calendar/Android

It is possible to synchronize your shifts with your calendar. This means that you will be able to see all of your shifts in your calendar, so you do not have to open the rota in Smartplan each time you want to check your shifts. This will save you some time and you will always have your shifts nearby.

Sync your shifts to your Google Calendar on your phone

Ideally, you should have reached this page, where you can choose to "Add to Google Calendar":

The link will now open your Google Calendar in your phone's browser. We always advise you to set up you Smartplan Calendar in the browser first. Now add your new Smartplan Calendar:

Now your shifts should be visible in your Google Calendar. However, your Smartplan Calendar will not always be visible directly. This process can take up to 24 hours.

In case you are using the Google Calendar App on your phone, your shifts should now also be synchronized to your calendar there.

You can even sync your shifts with your Android phone's normal calendar app. You simply have to make sure, that your Google account has been added to your phone's Calendar app. Once done, the Smartplan shifts you added to Google Calendar should now have been added to your phone's Calendar app as well:

Are the shifts not showing up in your Google Calendar App?

If you have just set up your Smartplan Calender in your Google Calendar, but your shifts are not automatically showing up in the app, it might be that Google has not processed the changes yet. As mentioned, this can take up to 24 hours. However, if you can see that your shifts are visible in Google Calendar in the browser, but not in the Google Calendar app, you could try these steps:

For Android devices:


1. Open your Google Calendar app.
2. Open the side bar menu by clicking on the icon in the upper left corner.
3. Make sure that the Smartplan calendar is ticked off and thereby visible.
4. Make sure that the calendar syncs:
4.1. In the menu, go all the way down to "Settings" and open them.
4.2. Find your Smartplan calendar in the settings. If you can not find it directly on the list, you might have to tap on "Show more" first.
4.3. In the settings of your Smartplan calendar, make sure that "Sync" is turned on (it should be highlighted in blue).

For iOS devices:

  1. Go to the menu in your Google Calendar

  2. Find the Smartplan calendar and mark it with a tick โœ”๏ธ

  3. Now your Smartplan calendar will be visible in your calendar

Are the shifts not showing up in your Android phone's own calendar app?

Then try the following steps:

  1. In case you have several Google accounts, go to your phone's calendar app and make sure that you have actually added that Google account to it, that the Smartplan shifts were originally added or synced to.

  2. Go to your Google calendar and check which Google account the Smartplan calendar has been added to and whether the synchronization is working smoothly. If not, update the calendar again manually. Make sure this Google account is also the one added to your regular calendar app (step 1).

  3. In the settings of your calendar app, make sure that your Smartplan calendar is selected and activated, too. It should be marked with a tick in the check box. If you can't find your Smartplan calendar, it may be hidden and you need to click "Show more" first.

  4. Click "Update" or "Sync now" in the side bar menu to bring your calendar app up to date.

Sync your shifts to your Google Calendar on a computer

If you want to sync your shifts to your Google Calendar on a computer, here is how to do it.

Go to "Me" on your Smartplan user. Here you can choose "Add shifts to calendar":

Here you can add your shifts to your Google Calendar:

The link will open in your Google Calendar, where you can add your new Smartplan calendar:

When you have clicked "Add", your shifts should be visible in your Google Calendar. This might sometimes take up to 24 hours.

Customize your calendar settings

Find your Smartplan calendar in the list on the left. Here you have the option to select "Settings":

Here you can customize different settings for your calendar. For example, you can rename the calendar or choose which events you would like to be notified about:
