Providing Sick Leave before the Anniversary Date

Granting sick leave entitlement before the employee’s first official accrual.

In some jurisdictions, sick leave becomes available only after the employee has reached the required period of employment (for example, six months).
If this period has not been completed through a pay process, the employee will have no sick leave balance available.

If you need to grant sick leave early, you can override the default behaviour.


Why this happens

SmoothPay only grants sick leave once the employee reaches the required length of service and a pay process has been completed that includes that milestone.

Until that point:

  • Sick Leave may appear as No entitlement

  • No balance is available

  • Sick leave cannot be recorded in the payrun


How to allow early access to sick leave

To manually activate sick leave before the employee's first anniversary:

  1. Go to the Staff screen

  2. Select the employee

  3. Select the Leave tab

  4. Select the Entitlement tab

  5. Select Sick Leave from the leave code list

  6. Click the Edit button at the bottom of the list

  7. Set the Accrue or consume field to Days

  8. Click Save


What SmoothPay does automatically

After saving, SmoothPay will:

  • Allow the employee to use sick leave immediately

  • Automatically adjust the last anniversary date so the employee is not granted the entitlement again when their real anniversary occurs

  • Prevent duplicate accrual

  • Allow sick leave to now appear in the Leave Taken tab during the payrun

The employee can now have Sick Leave processed as normal.
