Using Pay Reports

Generate detailed reports for the current pay, including audit checks, costing analysis, and statutory summaries.

The Pay reports menu is accessed from the Payrun screen when you are ready to review your entries. It provides a set of reports that relate only to the current payrun. You can select which reports you want, generate them as a single collated PDF, and optionally send payslips to employees. Some reports include additional options available through the spanner button.

You access the pay reports menu via the Payrun screen by clicking on the Pay reports button.


How to use the Pay Reports menu

Selecting reports

Each available report has a checkbox beside it.
To include one or more reports as part of the collated PDF:

  • Tick the reports you want.

  • Click OK.

SmoothPay will generate a single PDF that includes only the reports you selected. Reports with no data simply will not appear in the PDF.


Using the spanner button

Some reports show a spanner icon beside them.
Clicking this provides extra options that are specific to that report.

Examples include:

  • Changing the way the report is organised

  • Setting delivery options for payslips


Button options on the right side

These buttons affect the selection of reports, not the data inside them.

  • All
    Selects every report in the list.

  • None
    Clears all selected reports.

  • Toggle
    Inverts the current selection.

  • Remember
    Stores your current report selections.

Next time you open the Pay reports menu, the same reports will already be ticked.


Sending payslips

The Send payslips button sends payslips for the current payrun.

Key points

  • Payslips can be sent by email or SMS depending on each employee’s settings.

  • Delivery mode (TEST or LIVE) is controlled through the spanner beside Send payslips.

  • Sending payslips does not generate the PDF of selected reports.

  • Sending payslips closes the menu once the action is confirmed, the same way clicking OK to generate your PDF does.

  • TEST delivery to company email address

  • TEST delivery to SmoothPay help desk

  • LIVE delivery


Notes about available reports

Every option always appears in the list, but if no relevant data exists, that report will simply not be included in the generated PDF.
